Job Description

Building & Facilities Manager Plainfield United Methodist Church (PUMC) Position Summary The Building & Facilities Manager is responsible for the safe, efficient, and effective operation of all church facilities, grounds, and physical assets. This position ensures that PUMC provides a welcoming, secure, and well-maintained environment for staff, members, guests, and community partners. The Facilities Manager oversees building maintenance, vendor relationships, safety and security initiatives, facility projects, and operational support services. The Facilities Manager reports directly to the Senior Pastor and works collaboratively with the Board of Trustees, church staff, volunteers, and external service providers. Key Responsibilities Safety & Risk Management Promote and maintain a safe environment for all facility users by: Serving as the primary point of contact for fire alarm notifications and facility related emergencies. Identifying, addressing, and reporting potential safety hazards. Supporting compliance with applicable safety regulations and best practices. Recommending improvements to enhance facility safety and risk mitigation. Security & Facility Access Ensure the security and protection of church property, assets, and occupants by: Serving as the primary contact for security incidents, alarm notifications, and facility emergencies. Managing building access systems, including key control and electronic door security. Monitoring and maintaining exterior lighting, locks, and security related infrastructure. Hospitality & Facility Readiness Support a welcoming, organized, and professional environment by: Maintaining clean, attractive, and functional facilities and grounds. Collaborating with the Operations Manager to maintain the Church Center calendar, add new events, coordinate facility reservations, and ensure facility related event information is accurate and current. Receiving, reviewing, and approving lobby table requests for Sunday mornings in accordance with church guidelines and scheduling needs. Coordinating lobby table arrangements, room setups, and other facility configurations for church events and ministries. Ensuring internal and external signage is current, accurate, and guest focused. Collaborating with staff and ministry leaders to support facility needs and enhance the guest experience. Facilities Maintenance & Operations Maintain church property and assets through proactive planning and execution by: Developing and managing preventive maintenance schedules. Coordinating and performing routine maintenance and minor repairs. Monitoring facility systems, including HVAC, plumbing, electrical, and mechanical equipment. Identifying maintenance priorities and recommending capital improvements. Maintaining accurate records of facility maintenance, repairs, warranties, and equipment inventories. Vendor & Contractor Management Oversee third party service providers to ensure quality service and cost effectiveness by: Managing relationships with custodial, landscaping, snow removal, and other contracted service providers. Obtaining and evaluating vendor proposals and service agreements. Monitoring contractor performance and ensuring work meets church expectations. Serving as a liaison for facility related insurance claims, warranties, and service issues. Procurement & Inventory Management Manage facility related purchasing and inventories by: Procuring maintenance supplies and equipment within approved budgets. Maintaining accurate inventory records. Researching cost effective purchasing options and competitive bids. Ensuring proper disposal of equipment and hazardous materials in accordance with applicable requirements. Communication & Collaboration Foster effective communication and partnership across the organization by: Participating in Trustee meetings and providing facility updates and recommendations. Collaborating with church staff, ministry leaders, volunteers, and committees. Supporting special projects and church initiatives as assigned. Preparing reports, maintenance updates, and project status summaries as needed. Qualifications Experience in facilities management, property management, or building operations preferred. Working knowledge of building systems, maintenance practices, and vendor management. Basic proficiency with computers, email, Microsoft Office and Google Workspace applications. Strong organizational, communication, and customer service skills. Ability to prioritize multiple tasks and respond effectively to facility emergencies. Experience working with volunteers, nonprofits, or faith-based organizations preferred. Ability to occasionally work flexible hours and respond to urgent facility needs.
