Job Description

Step Into the Command Center of Commercial Service At Beacon Mechanical Services, your day begins with the Corrigo dashboard lighting up with new and in-progress requests. You scan locations, confirm scopes and priorities, check NTE limits and required completion dates, and note contacts and special instructions. Within defined response times, you acknowledge each ticket, align with scheduling and operations, and set the work in motion. As technicians roll, you keep customers and facility stakeholders informed—from initial acknowledgment and technician ETA through scheduling updates, in-progress notes, return visits, material or approval delays, and final completion. You log precise status changes in Corrigo, reconcile data with our internal service-management systems, and make sure every job closes out cleanly with the right documentation. What You'll Do Continuously monitor and process incoming Corrigo work orders throughout the day. Review each new request for location, scope, priority, NTE, required completion dates, contacts, and any special instructions. Acknowledge and accept work orders within required response-time windows. Coordinate closely with internal scheduling and operations to assign work and keep it moving.
Provide consistent customer communication:
initial acknowledgment, technician ETA, scheduling changes, work-in-progress status, planned return visits, material/approval delays, and job completion. Update Corrigo work-order statuses quickly and accurately.
Gather and track technician inputs:
service notes, labor entries, materials used, photos, equipment details, and completion documentation. Prepare and upload closeout documentation promptly once work is finished. Identify aging or incomplete orders and proactively follow up with the right team members. Assist with quote, NTE, and approval tracking when needed. Maintain alignment between Corrigo and Beacon's internal systems for complete and accurate records. Respond professionally to customer emails, messages, and requests. Support operations with additional administrative and data-entry needs as required. What You Bring 3+ years in administrative support, dispatch, work-order management, or service coordination. Background in a trade-related business (plumbing, HVAC, electrical, mechanical, facilities maintenance, or construction) strongly preferred. Speed with accuracy—comfortable handling a high volume of active work orders and competing deadlines. Clear written and verbal communication with customers, technicians, vendors, and internal management. Excellent organization and follow-through; you spot open items and drive them to completion. Fluency in multiple software platforms; experience with Corrigo, ServiceChannel, ServiceTitan, FieldPulse, or similar tools is a strong plus. Proficiency with Google Workspace and basic spreadsheet/data-entry functions. Bilingual ability is a plus (not required).
