Working closely with the clinic's design and facility leadership, this individual will help move projects from idea through execution—coordinating vendors and contractors, researching products and solutions, supporting facility improvements, monitoring work on-site, and ensuring that projects and outstanding items are followed through to completion. The ideal candidate has a background in architecture, interior design, construction management, architectural engineering, facilities management, or a related field and combines design awareness with strong execution and project-management skills. This is a hands-on role for someone who is comfortable taking ownership of projects, working independently, and following through until issues are resolved. ResponsibilitiesProject & Site Coordination
- Serve as an on-site point person for contractors, installers, painters, electricians, furniture vendors, glass contractors, and other service providers.
- Monitor ongoing construction and facility work and confirm that work is progressing in accordance with the intended scope.
- Document project progress, completed work, and items requiring follow-up.
- Maintain project and facility punch lists and drive outstanding items through completion.
- Coordinate contractor and vendor access, site visits, measurements, installations, deliveries, and other on-site activities.
- Identify potential issues, delays, or deviations from the intended design and escalate them appropriately. Vendor Research & Procurement
- Research vendors and products for facility and design needs, including glass partitions, furniture, cabinetry, flooring, doors, signage, lighting, window treatments, storage systems, and other architectural elements.
- Contact vendors and communicate project requirements.
- Obtain estimates, specifications, product information, pricing, and lead times.
- Compare vendors and options and prepare concise recommendations for review.
- Coordinate site visits and measurements with prospective vendors.
- Follow up on quotes, outstanding questions, fabrication schedules, deliveries, and installations. Design & Facility Support
- Assist with field measurements, site documentation, existing-condition surveys, and basic review of architectural plans and construction documents.
- Research solutions to facility and design challenges and present practical options.
- Help coordinate improvements involving furniture, space planning, finishes, privacy, lighting, storage, signage, and other facility needs.
- Organize project information, including drawings, photographs, proposals, quotes, product specifications, and vendor contacts.
- Support day-to-day facility management needs and improvement projects as they arise. Codes, Permitting & Technical Research
- Research and help interpret applicable building codes, accessibility requirements, fire and life-safety requirements, and local or state regulations when evaluating proposed facility changes.
- Apply relevant code requirements to preliminary design and facility questions when appropriate.
- Help identify potential permitting or compliance issues and coordinate questions with architects, engineers, contractors, building management, or other professionals.
- Recognize when a technical, regulatory, or professional design decision requires escalation. What We Are Looking For The ideal candidate is:

- Confident calling vendors, requesting information, following up, and coordinating next steps.
- Comfortable working on-site and overseeing routine contractor and vendor activity.
- Detail-oriented and able to recognize when work does not match the intended design or scope.
- Able to manage multiple projects, vendors, and follow-up items simultaneously.
- Comfortable reviewing architectural drawings and basic construction documentation.
- Comfortable understanding, researching, interpreting, and applying building codes and related regulatory requirements when needed.
- Able to work independently while exercising good judgment about when decisions should be escalated.
- Strong at closing loops and making sure projects do not stall because of missed follow-up. We are particularly interested in candidates who do not simply identify problems, but can research options, contact the appropriate people, coordinate next steps, and bring back practical recommendations. Preferred Background Candidates may come from backgrounds including:
- Architecture
- Interior Architecture or Interior Design
- Construction Management
- Architectural Engineering
- Facilities Management
- Healthcare Design
- Real Estate Development
- Project Management Prior professional experience is preferred, particularly experience involving construction administration, renovations, facilities, vendor coordination, or project management. Experience with healthcare facilities or other regulated environments is a plus. Familiarity with any of the following is also helpful:
- Architectural drawings and construction documents
- AutoCAD or Revit
- Bluebeam
- Building codes and permitting
- Construction terminology
- Excel or Google Sheets
- Project-management and task-tracking tools Example Projects Examples of projects this individual may be asked to manage or support include:
- Researching options for a new interior glass partition, identifying qualified vendors, arranging site visits, obtaining multiple proposals, reviewing relevant considerations, and summarizing pricing and lead times.
- Being on-site while painting, construction, or installation work is performed, confirming that contractors understand the agreed scope and documenting any issues.
- Coordinating furniture, cabinetry, signage, or equipment deliveries and installations.
- Maintaining a punch list from a renovation and following up with individual contractors until all items are resolved.
- Researching solutions for privacy, lighting, storage, finishes, signage, furniture, or other facility needs and presenting recommended options.
- Reviewing a proposed facility modification and researching whether there are building-code, accessibility, life-safety, or permitting considerations.
- Identifying and contacting vendors for a new project and helping coordinate the process from initial research through proposal, selection, scheduling, and installation.
- Managing facility work on-site when project leadership is traveling or otherwise unavailable.
