This position is responsible for a broad variety of functions that ensure the smooth operation of church facilities, with moderate guidance from the Office Administrator and the lay-led Buildings and Grounds Committee. Ensuring the smooth running of First Parish physical plant includes the following essential functions:
ESSENTIAL FUNCTIONS
Preparation:
Check in daily with the Office Administrator and check events on First Parish calendar to maintain awareness of all planned and upcoming meetings and set-up needs. Set up rooms for meetings; clean and reset rooms following meetings. Act as representative of First Parish for renters, and convey any information shared by renters with the Office Administrator.
On Sunday:
Prepare the Meeting House, placing essential items, such as candles, chalice, etc. After the service, replace hymnals, remove and recycle discarded Orders of Service, remove refuse and lost items from pews. Update outdoor bulletin boards. (Monthly for Worship Schedule, weekly for Wayside Pulpit.)
Maintenance:
Understand the maintenance and inspection needs of: Sound system Emergency Sprinkler system Boiler Clock Tower and Willard Clock Emergency lights Timer units for bulletin board and tower lights Clean and oil sink in Parish Hall kitchen Minor repair work to include sanding and painting Security Alarm system Regular maintenance of appliances and equipment. The above applies to standard maintenance. All repairs will be made by vendors under contract or will be put out to bid for contract coordinated by Building and Grounds Committee chair and/or Board of Trustees. Inform Building and Grounds Committee Chair of needed repairs, and coordinate repair work as needed. Be present at facility when repair people are scheduled to work in the building (unless otherwise coordinated with Building and Grounds Committee chair). Regularly check that all rooms are heated and cooled appropriately. Stock toilet paper, paper towels and soap in all bathrooms & kitchens. (daily) Replace burned-out light bulbs. (daily) Attend Buildings and Grounds and Trustee meetings when asked.
Purchasing:
Maintain on-hand supplies of paper goods, cleaning agents, general building supplies. Reorder as necessary. (Portland Paper Supply) Maintain on-hand supplies of candles, including votive and altar candles Check with Office Administrator regarding need to purchase supplies, tools and equipment which are not routinely ordered (Maine Hardware on St. John Street). Work in collaboration with Building and Grounds Committee chair and/or Office Administrator to make special-order purchases for building.
Cleaning:
Clean all six bathrooms and record cleaning on log sheet. (daily) Mop the basement floor. (daily) Empty wastebasket contents into dumpster. (daily) Properly direct recyclable materials to recycling facility or service. (daily) Deep clean of both kitchens, including mopping floors. (weekly) Vacuum carpets and area rugs weekly, shampoo as necessary. Sweep, mop and wax all floors as necessary. Wash all windows, inside and outside as necessary. Notify Buildings and Grounds Committee chair/Trustees to hire professional cleaners when necessary-- third floor outside windows are not accessible. (seasonally) Dust hard to reach areas in both buildings at least twice/year.
Grounds:
Winter:
remove snow and ice on walkways, stairways and driveways on church property. (daily - public sidewalk is maintained by the city) Grounds maintenance, including mowing and cleaning debris in front, back, and alley of church and Memorial Garden (daily)
Sunday Responsibilities:
Prepare Meeting House for worship, including any special set-up required by the Minister or guest speaker. Replenish candles on both sides of Meeting House so that votives are plentiful. Open church doors at 9am, ring bell at 10am. Support Welcoming Team/Coffee Hour host as needed . Set up tables for programs, events, etc. as necessary. Set up rooms for pre- and post-worship committee or group meetings. Vacuum Parish Hall following coffee hour.
Other Events:
Develop a roster of trained Event Monitors and schedule one to be present at all one-time rentals, such as weddings, memorials, concerts, etc. The Sexton has first refusal to serve as an Event Monitor themselves. This work is outside regular hours and is paid separately. Specific wages for events are detailed in the First Parish Rental Policy.

QUALIFICATIONS AND SKILLS
Candidate must have general janitorial skills and the ability to conduct ongoing assessment and maintenance of the physical plant. They must be able to interact with members of the congregation and the public as a representative of First Parish, assessing and meeting needs, responding to inquiries, and contributing to the overall welcome offered by our staff and community. They must be comfortable communicating clearly and accurately about progress on ongoing projects and assess timelines for upcoming tasks.
HOURS AND SALARY
$22/hour commensurate with experience 35 hours/week Flexible. Staff Meetings (bi-weekly) and Sundays required Schedule to be confirmed with the Office Administrator Competitive salary with reduced summer hours, two-week's vacation following one year of service (to be taken in the summer; vacation time cannot be accumulated), and health benefits. After one year of service, First Parish contributes 10% of the Sexton's salary to a church-sponsored retirement plan. Holidays and Personal Leave to be taken according to procedures laid out in Personnel Policy Manual.
