Facilities Manager description We are seeking a dynamic and highly skilled Facilities Manager to lead overall maintenance operations with energy and precision for our COTS Peggy's Place Emergency Shelter. In this vital role, the Facilities Manager is responsible for ensuring the safety, functionality for children and families, cleanliness, security, and overall maintenance of a 24-hour family emergency shelter serving families experiencing homelessness. The Facilities Manager must be a hands-on, proactive problem solver with strong troubleshooting skills and practical knowledge of building maintenance and operations. The successful candidate will have a strong eye for identifying problems before they escalate, determining the cause of facility issues, completing appropriate repairs, and knowing when to involve a licensed contractor or outside vendor. This is more than a repair position- the Facilities Manager is expected to take ownership of preventative maintenance, building safety, equipment needs, and overall facility improvements in a fast-paced 24-hour shelter environment. Facility Maintenance & Repairs Inspect the facility regularly to identify maintenance needs, safety hazards, and potential problems. Perform general building repairs and troubleshoot plumbing, electrical, HVAC, structural, and other facility issues. Identify root causes, resolve recurring problems, and coordinate specialized repairs when needed. Respond to emergency maintenance needs and ensure repairs are completed effectively. Preventive Maintenance & Building Systems Develop and maintain a preventive maintenance program for building systems, equipment, and essential shelter operations. Conduct scheduled inspections and routine maintenance of life-safety systems, HVAC, plumbing, electrical systems, building components, appliances, and exterior systems. Monitor equipment condition and recommend repairs, replacements, or improvements as needed. Maintain maintenance schedules and service records. Shelter Operations & Grounds Maintain a safe, clean, functional, and welcoming environment for residents, families, children, staff, and visitors. Support room preparation, facility setups, events, and daily shelter operations. Maintain grounds, walkways, parking areas, landscaping, exterior lighting, playgrounds, and outdoor spaces. Coordinate seasonal maintenance, including snow and ice removal and landscaping. Safety, Compliance & Emergency Response Identify and correct facility hazards and support compliance with applicable safety, fire, building, health, licensing, and organizational requirements. Support emergency preparedness and regulatory inspections. Respond to facility emergencies such as leaks, flooding, utility failures, power outages, HVAC failures, fire/life-safety concerns, security issues, and severe weather. Communicate significant incidents and document corrective actions. Vendors, Inventory & Documentation Coordinate contractors and vendors, monitor work quality, and maintain service and warranty records. Maintain adequate inventory of maintenance supplies, tools, equipment, and replacement parts. Manage work orders and maintain accurate records of inspections, repairs, preventive maintenance, emergencies, and facility improvements. Track recurring issues and recommend solutions that improve facility safety, reliability, and efficiency. Essential Competencies Computer and basic software skills (MS Office, email) Knowledge of food safety and sanitation standards Ability to follow recipes and instructions accurately Strong organizational and time management skills Ability to work independently and as part of a team Problem Solving/Analysis Communication Proficiency Ethical Conduct Customer Service Oriented Qualifications High school diploma or GED required. Minimum of 3 years of experience in building maintenance, facilities management, property maintenance, or building operations. Demonstrated experience of troubleshooting building and maintenance problems. Strong practical knowledge of how building systems and component's function. Experience identifying maintenance concerns and determining appropriate corrective action.
Prior experience with:
General carpentry, basic plumbing, electrical troubleshooting drywall repair, and painting Core Competencies The successful candidate will demonstrate: Strong problem-solving and troubleshooting ability. A strong eye for identifying problems, deterioration, and potential safety concerns before they escalate. Practical knowledge of building maintenance and facility operations. Ability to assess a problem and identify its likely root cause. Ability to distinguish between quick repair and a problem requiring a long-term solution. Ability to recognize when a repair is within their scope and when a licensed professional is needed. Proactive approach to preventative maintenance. Strong attention to detail. Excellent organizational and follow-through skills. Ability to prioritize multiple maintenance needs in a busy 24-hour environment. Ability to remain calm and make sound decisions during emergencies. Ability to work independently with minimal supervision. Professional communication and interpersonal skills. Strong customer service skills when working with residents, families, staff, contractors, and outside agencies. Flexibility and responsiveness. Ability to identify opportunities for facility improvement before issues become larger or more costly. Commitment to maintaining a clean, safe, functional, and welcoming environment for families and children. Employment Type This is an hourly position non-exempt position. Compensation will be commensurate with experience and qualifications. Supervisory Responsibility This position does not have direct supervisory responsibilities. Work Environment The Facilities Manager role operates in a customer service labor-oriented environment supporting our 24-hour family emergency shelter. Compliance with safety protocols, PPE requirements, and occasional after-hours emergency response is required. Physical Demands The position requires the Facilities Manger to have the ability to walk throughout the facility and property for extended periods; inspect areas requiring bending, kneeling, reaching, stair climbing. There may be occasional work in confined spaces, as well as the need to move and safely lift furniture, equipment, tools, and supplies. This role will be required to work indoors and outdoors in varying weather conditions in order to respond promptly to urgent facility and maintenance concerns. Expected Hours of Work This is a full-time position. Must be available to work flexible hours including some weekends, covering shifts, and holidays, as needed. The Emergency Shelter operates 7 days a week/ 24-hours a day.
