SUMMARY:
The Director's Secretary is responsible for providing top quality administrative support to the Director and staff. The Director's Secretary is responsible for preparing reports for the Director and serving as a liaison between the Director and all stakeholders. Perform numerous duties including writing correspondence, emailing, greeting visitors, answering questions, etc.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Demonstrates a strong commitment to equity, social justice, and inclusion in all practices and position responsibilities. Performs a variety of administrative support tasks that are highly confidential and sensitive. Coordinates office management activities for the administrator. Researches, compiles, assimilates and prepares confidential and sensitive documents and briefs the administrator regarding content. Reads and screens incoming correspondence and reports; makes preliminary assessment of the importance of materials and organizes documents; handles some matters personally and forwards appropriate materials to the administrator and staff. Receives and screens incoming calls and visitors, determines which are priority matters, and alerts the administrator accordingly. Makes referrals to appropriate staff or provides requested information. Composes letters and memoranda in response to inquiries. Acts as liaison between the administrator, subordinates, or others, by transmitting directives, instructions and assignments and following up on the status of assignments. Produces a variety of documents, charts, and graphs in final form. Updates administrator on status of issues before scheduled meetings. Prepares agenda and collects materials for meetings, speeches, and conferences. Plans and coordinates arrangements for professional conferences. Reviews, proofreads, and edits documents prepared for the administrator's signature. Recommends actions to be taken on office expenditure such as equipment and supply needs. Assists the Director with preparation of the office budget. Assists the Director with the establishment, revisions and maintenance of office procedures and policies. Compiles and maintains records, statistical information, and reports. Participates in and/or coordinates committees. Establishes and maintains various filing and records management systems. Operates standard office equipment. Prepare requisitions and purchase orders and order office supplies. Keep in confidence all personal, student or personnel records and information. Under the direction of the Director of Facilities, monitor facility requests for the district (except the LAB), approve internal/external requests for facility usage, and ensure proper support/coverage for all district requests. Website/App support and management (operational platform, CivicRec and Facilities Website) Shipping and Receiving support. Coordinate and assist with growth of community programming/rentals both internally and externally. Provides administrative support for non-athletic community education programming Participates in district and school initiatives, adheres to building and district school improvement plans. Adheres to, interprets, and implements all district policies, administrative guidelines and procedures. Conducts behavior to demonstrate collegiality and professionalism. Regular and reliable attendance is an essential job function. Performs other duties as assigned by the Department Director.
SUPERVISORY RESPONSIBILITIES
The position does not have any supervisory responsibilities.

EXPERIENCE
High School Diploma or equivalent. Excellent office and customer service skills. Five years secretarial experience preferred. Applicant must satisfactorily pass a criminal background check as defined by the State of Michigan. Good work habits, including punctuality and good attendance record.
LANGUAGE SKILLS
Ability to read, analyze and interpret periodicals and professional journals. Ability to effectively present information and respond to questions from groups of educators, students and the general public. Ability to express self clearly, both orally and in writing. Ability to read, analyze and interpret information.
TECHNICAL SKILLS
Ability to integrate technology into the everyday workflow is necessary. Ability to utilize District technology and work to maintain proficiency, as required skill sets change with technology and/or the needs of the district. Ability to use computer technology for research, data management, communications, and other instruction. Ability to use a personal computer (PC) or MAC in a networked environment to utilize the Internet and other electronic communications mechanisms. Knowledge of productivity applications such as Microsoft Office (word processing, spreadsheets, database and presentation software) is required.
MATHEMATICAL SKILLS
: Ability to apply the concepts of basic math, algebra, and geometry consistent with the duties of this position.
REASONING ABILITY
Highly proficient in subject areas of: reasoning, problem solving, organizational dynamics and emotional intelligence. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Exhibit a high level of professionalism with the ability to handle confidential information, use good judgment, plan and handle complex projects and maintain a flexible attitude. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. Ability to define problems, collect data, establish facts, and draw valid conclusions.

Ability to build rapport with others and to serve diverse publics. Ability to take initiative; work well with others as a collaborative team member and exhibit good communication skills. Ability to work effectively and collaboratively with other departments, agencies and individuals.

TERMS:
The contract, salary and other employment conditions are to be determined by the current collective bargaining agreement between the Lincoln Consolidated Schools and the Lincoln Education Associates Organization (LEAO).
