Job Description

Join our Facilities team as a Facilities Coordinator! This position is a key administrative partner supporting the Facilities Department and its supervisors while helping keep daily operations organized, efficient, and responsive. The Facilities Coordinator will manage the department's work order system , coordinate schedules, support payroll and purchasing processes, maintain records, and provide administrative assistance to supervisors and management. This role also uses department software to track work orders, inventory, employee time, assets, and operational data.

Key Responsibilities:

Manage, assign, and track work orders using facilities management software. Provide administrative support to department supervisors and management, including scheduling, correspondence, meeting coordination, records, and reporting. Process invoices, purchase orders, payment requisitions, budget documents, purchasing card transactions, and other financial records. Assist with payroll processing, personnel documentation, and employee records. Maintain inventory and equipment records and generate reports to support operational and budget decisions. Coordinate on-call schedules and assist with department communications, surveys, newsletters, and annual reports. Support parking and invoice processing functions as needed. Assist the Project Manager and other Facilities staff with departmental projects. Perform other duties as assigned.

A highly organized, dependable professional with strong communication and customer service skills who enjoys working in a fast-paced, team-oriented environment.

Minimum Qualifications:

High school diploma or GED equivalent. Five years of administrative support or office management experience, preferably in a customer service environment. Familiarity with computer software and office applications. Experience working in facilities maintenance, property management, or similar operational environment is preferred.
