Provides administrative support. Resolves facilities issues for all building systems and equipment by determining and coordinating the best solution.
Responsibilities:
This role reports to the Facilities Manager in Charlotte and must be able to work professionally and effectively with vendors, contractors, employees, management, landlords, and subtenants. Serve as the primary liaison with the Charlotte building Property Management team, including the landlord, building engineers, Tenant Services Coordinator, janitorial staff, and subtenants. Oversee third-party service providers and vendors, ensuring services are performed in accordance with expectations and contractual obligations. Manage workspace assets, including furniture, keys, and other facilities-related inventory; maintain accurate records and tracking. Support employee onboarding and offboarding activities, including workspace setup, seating arrangements, and physical access coordination, in partnership with Human Resources, business managers, and IT Support. Administer physical access control, including badge creation, programming, distribution, and updates related to staffing changes. Conduct routine daily, weekly, and monthly office inspections; identify, coordinate, and follow through on facility repairs and maintenance activities. Respond to and fulfill facilities-related service requests from employees in a timely and professional manner. Order, stock, and organize supplies for office pantries, cafés, and common areas. Perform regular audits of the office space to ensure compliance with the Global Clean Desk Policy. Support building life-safety and emergency preparedness programs by assisting during evacuations and drills, maintaining Emergency Response Team (ERT) volunteer participation, and coordinating annual AED/CPR/First Aid certification training. Participate in real estate initiatives, space planning projects, office moves, and workplace optimization efforts as directed by management. Support company sustainability objectives by ensuring office supply purchases and operational practices align with global sustainability guidelines and approved budgets. Create and maintain documentation related to facilities operations, workplace procedures, vendor services, and other responsibilities associated with the role. Assist with minor office repairs and maintenance tasks using basic hand tools, such as screwdrivers, pliers, and similar equipment. Provide backup coverage for reception and mail services, as needed. Qualifications & Requirements Strong attention to detail with excellent organizational and time-management skills. Self-motivated and disciplined, with the ability to work independently and manage multiple priorities. Highly proficient in Microsoft 365 applications and comfortable learning and utilizing new technology platforms and business systems. Strong customer service and communication skills, with the ability to build effective working relationships across all levels of the organization. Flexibility to work occasional evenings, weekends, and after-hours to support critical business activities, office projects, emergency situations, and workplace events. Ability to walk and stand for extended periods, regularly traverse the office and building, and lift or move items weighing up to 25 pounds in support of workplace operations, office moves, deliveries, and other facilities activities. Comfortable using basic hand tools and performing minor office repairs and adjustments as needed.
