Job Description

The Opportunity:
The Workplace Operations Manager handles the daily operations of the Hillsborough office, ensuring a safe, clean, well-maintained and welcoming workplace. The role combines hands-on office and facilities coordination with company event planning and execution. Approximately 40% of the position is dedicated to onsite and offsite events. This position reports to the Director of Human Resources and works closely with leaders and team members across the company.
Duties/Responsibilities:
  • Serves as the primary point of contact for concerns such as temperature control, cleanliness, lighting, general upkeep, repairs needed, pest control, supplies and beautification.
  • Oversees building maintenance and procures resources and researches vendors as needed, including roofing, electrical, doors/locks, handyperson services, HVAC, janitorial, landscaping and pest control. Vendor work orders and related contracts must be pre-approved by the manager.
  • Ensures all work is completed as agreed and surveys the Hillsborough office daily.
  • Orders, properly stores and inventories office, janitorial and breakroom supplies.
  • Ensures kitchen areas and bathrooms are kept clean and sanitary, reporting issues to the housekeeping service and manager as needed.
  • Reports unsafe office or outside building conditions immediately to the manager. Loading docks and warehouse-related areas are surveyed by warehouse staff.
  • Serves as an onsite communication and coordination point for local emergencies, including fire, break-ins, vandalism, utility failures, severe weather and other building-related incidents. Gathers available facts, promptly notifies designated leaders and key team members, and supports timely decision-making and employee communications in accordance with company procedures.
  • Arranges removal of office furniture and related items as needed. Handles and/or oversees office moves, furniture setup and arranging painting, and keeps the office building free of clutter and waste.
  • Ensures office-area fire exits are clear.
  • Processes mail and invoicing for facilities matters and distributes mail in the Hillsborough office.
  • Assists with building access, including key card distribution and maintenance.
  • Assists with employee communications related to HVAC outages, parking changes, building closures and safety messaging.
  • Participates in creation of the Emergency Action Plan with a Warehouse leader and HR.
  • Coordinates inclement-weather preparation, including snow removal and salting walkways, entrances and loading platforms. Keeps designated leaders informed of onsite conditions to help them make decisions about delayed openings, early closures or building closures.
  • Serves as a designated contact for security alarm notifications. Responds to and documents alarm-related issues, notifies appropriate team members and follows established safety procedures.
  • Plans, organizes and executes onsite and offsite company events, retreats and activities as assigned by the direct manager or a company partner, including Indie Week.
  • Manages budgets, negotiates with vendors, coordinates logistics and oversees day-of operations when necessary to ensure events meet objectives and run smoothly.
  • Researches venue and restaurant options and negotiates the best possible rates, demonstrating a high level of fiscal responsibility.
  • Resolves event-related issues in a timely manner, including room dissatisfaction, price discrepancies, venue failure to deliver or honor negotiated contracts, and refunds when necessary.
  • Secures supplies and other event necessities and works with IT to coordinate A/V needs.
  • Creates, manages and shares highly detailed itineraries.
  • Anticipates attendee needs and questions.
  • Represents the company in a highly professional manner and cultivates respectful, long-term business relationships.
  • Performs other related duties as assigned.

  • Proficient in Google Workspace, including Google Sheets, Google Docs and Gmail, and generally computer savvy.

Education and Experience:
    Required:
    High school diploma or equivalent; some college preferred.
      Required:
      3-5 years of experience as an office or facilities manager, senior executive assistant or in a similar role.
      • Highly preferred: Demonstrated experience negotiating contracts and pricing and planning large-scale events.
      Required:
      Demonstrated success with fiscal responsibility.
      Physical Requirements:
      • Prolonged standing and walking.
      • Bending, lifting and kneeling.
      • Ability to lift up to 35 pounds.
      Position Location:
      Onsite - Hillsborough, North Carolina. Warehouse and office environment.
      Salary Range:
      $60,000 - $75,000
      Status/Hours:
      Full time, Exempt, Traditional business hours; occasional evenings or weekends as needed for onsite and offsite events or urgent facilities matters.
