This role works closely with the Facilities and Operations teams to coordinate maintenance activities, respond to employee and facility needs, manage vendors and supplies, and help ensure the workplace remains safe, organized, functional, and welcoming. The ideal candidate is dependable, organized, service-oriented, and comfortable handling a variety of administrative and hands-on operational responsibilities in a fast-paced environment.
Responsibilities:
Facilities & Workplace Operations Support daily facility operations and help maintain a clean, safe, organized, and professional workplace. Conduct routine walkthroughs to identify maintenance, safety, cleanliness, and operational concerns. Submit, track, and follow up on maintenance and repair requests. Assist with basic troubleshooting of workplace equipment, furniture, fixtures, and facility systems. Coordinate office moves, furniture setups, meeting room configurations, and workspace changes. Help prepare facilities for meetings, events, visitors, and other workplace activities. Respond promptly and professionally to employee facility requests. Maintenance & Vendor Coordination Coordinate scheduling and site access for maintenance technicians, contractors, cleaners, and other service providers. Communicate with vendors regarding service requests, scheduling, and completion of work. Monitor vendor performance and escalate service issues when appropriate. Maintain organized records of service visits, work orders, inspections, and facility-related documentation. Assist with obtaining quotes and maintaining information related to facility vendors and services. Supplies & Inventory Monitor inventory levels for janitorial, maintenance, and facility supplies. Place or coordinate supply orders as needed. Receive deliveries and ensure supplies and equipment are stored appropriately. Maintain organized storage, supply, and common areas. Assist with tracking facility assets, equipment, keys, access cards, and other workplace resources. Safety & Security Support workplace safety procedures and help identify and report potential hazards. Assist with emergency preparedness activities, inspections, and safety documentation. Support building access, visitor procedures, keys, badges, and related security processes as assigned. Help ensure facility policies and procedures are followed. Escalate urgent maintenance, security, or safety concerns to the appropriate team member. Administrative Support Maintain facility calendars, records, checklists, work orders, and other operational documentation. Assist with invoice review, purchase orders, expense tracking, and facility-related administrative tasks. Communicate facility updates, maintenance notices, and service interruptions to employees when needed. Support special projects and other operational initiatives as assigned.
