Job Description
Description We are looking for a detail-oriented Facilities Assistant to support daily workplace operations for a Contract position based in New York, New York. This role helps maintain an organized, functional office environment by coordinating room readiness, responding to facility-related requests, and supporting maintenance tracking activities. The ideal candidate is comfortable working with computerized maintenance systems, managing multiple priorities, and providing dependable on-site support.
Responsibilities:
- Coordinate the setup, readiness, and day-to-day support of conference rooms to ensure meetings and events run smoothly.
- Track service requests, preventive maintenance activities, and facility work orders using a computerized maintenance management system.
- Assist with general facilities coordination, including monitoring office conditions and following up on building-related issues.
- Maintain accurate records for maintenance tasks, vendor activity, and operational updates in designated systems.
- Support scheduling, timekeeping, and workforce-related administrative tasks using Kronos or similar tools when needed.
- Communicate with internal teams, building staff, and service providers to help resolve facility concerns in a timely manner. Requirements
- Experience supporting workplace or office facilities operations in an administrative or coordination capacity.
- Working knowledge of CMMS platforms and computerized maintenance management processes.
- Ability to manage conference room support and respond effectively to changing daily priorities.
- Familiarity with facilities coordination practices, including service tracking and issue follow-up.
- Experience with Kronos Timekeeping System or comparable timekeeping software is preferred.
- Strong organizational skills, attention to detail, and clear communication abilities.
- Ability to work on-site in New York, New York in a Contract position.
