Facilities Assistant
Job Description
Description We are looking for a dependable Facilities Assistant to help keep our New York, New York workplace operating smoothly, safely, and efficiently. This Long-term Contract position will support daily building upkeep, basic repairs, workspace readiness, and service coordination while partnering with maintenance staff and internal teams. The ideal candidate brings a hands-on approach, strong awareness of facility conditions, and the ability to manage routine tasks with care and urgency.
Responsibilities:
- Conduct routine walkthroughs of the facility to spot maintenance needs, safety concerns, and operational issues, then communicate findings to the appropriate support staff.
- Provide hands-on assistance with general building upkeep, including minor fixes such as replacing lights, changing filters, and addressing basic workspace issues.
- Help maintain secure and orderly work areas by observing building conditions and escalating concerns that require specialized repair or follow-up.
- Support office reconfiguration and internal moves by transporting furniture, equipment, materials, and requested supplies throughout the site.
- Respond to service requests and update work progress in the CMMS or other computerized maintenance management systems to ensure accurate tracking.
- Assist during urgent facility situations by providing on-site support and helping coordinate a timely response.
- Follow established environmental health and safety practices when handling tools, equipment, materials, and storage areas.
- Complete assigned compliance activities, required safety coursework, and additional operational tasks or special projects as needed. Requirements
- At least 2 years of experience in facilities support, building maintenance, or a related workplace services role.
- High school diploma or equivalent required.
- Familiarity with CMMS platforms and computerized maintenance management processes for tracking work orders and service activity.
- Ability to follow written and verbal instructions carefully while working effectively under direction.
- Working knowledge of conference room support, general office facilities coordination, and day-to-day building service needs.
- Physical ability to stand, bend, reach, twist, and move throughout the facility for extended periods.
- Ability to lift, push, pull, or carry 25 pounds or more safely.
- Experience with timekeeping or workforce systems such as Kronos is a plus.
