Key Responsibilities Strategic Oversight and Compliance Develop and implement long-range facilities master plan aligned with school goals Maintain and update all safety, security, and facilities policies to meet local, state, and federal regulations Coordinate annual internal and external audits related to facilities, safety, and security Monitor and manage capital project budgets, timelines, and vendor performance. Annual Budget coordination with Controller. Support with the purchase of classroom supplies and environmental needs. Oversight of Information Technology (IT) including the coordination with Directors of Education for technology requests. Coordination of IT requests and IT budget with Controller. Manage facility planning, contracting, and administration of major capital projects; liaise with design teams, contractors, and government agencies. Ensure compliance with codes and regulations governing facility use, construction, maintenance, and improvement. Complete required state reporting, funding request, grant processing, etc. Ensure ADA accessibility compliance across all facilities. Will assist with Summer Camp operations with regards to facilities, safety, security, etc. Safety, Security & Risk Management Lead the school-wide emergency preparedness program, including drills, evacuation plans, and reunification procedures Serve on and support the Safety & Security Planning Committee; oversee safety systems (video cameras, electronic doors, alarms, etc.). Ensure a safe school environment through traditional risk management and cyber-liability protection. Conduct regular risk assessments and incident trend analyses to drive mitigation strategies Maintain emergency response plans and serve on the Emergency Response Team for physical, weather, and health emergencies. Oversee Nurse/Health Coordinators and oversight of Medical Action Plans Oversee access control, video surveillance, alarm systems, and intruder detection measures Manage partnership with local law enforcement and emergency services for drills and real-world events Maintain emergency readiness planning; coordinate off-hours alarms, facility checks, mitigation if needed and safety system operations. Maintain crisis communication protocols and a rapid notification system Oversee annual and requested campus-wide inspections (e.g. state and county inspection requests) Foster relationships with state, county, and local community organizations to support facilities and safety initiatives. Serve as primary point of contact for facilities, safety, and security concerns from parents, staff, and students Promote a culture of safety, security, and high-quality facility standards Communicate facility and safety upgrades to the school community in a clear and timely manner Facilities Operations and Maintenance Schedule and supervise custodial services, maintenance requests, grounds maintenance/irrigation and preventive maintenance programs Prequalify, select, and manage facilities, security, and safety vendors and contractors Develop service level agreements (SLAs) and monitor performance and warranty claims Oversee safety, security lighting, parking lot safety, and traffic flow planning during arrival and dismissal Oversee phone and technology systems including sound systems and software requests. Manage inventory, procurement, and lifecycle replacement of facilities equipment and supplies Develop and implement energy management initiatives to reduce utility costs Coordinate space planning for events, renovations, and new program needs Maintain accurate facilities, safety, and security records, logs, and asset inventories Manage documentation for certifications, permits, and regulatory inspections Health, Safety, and Environmental Health Implement health and safety programs (including injury prevention, ergonomics, and incident reporting) Actively participates on the threat assessment team. Oversee school-wide health inspections, safety signage, and PPE program administration Lead ongoing safety training for staff, summer camp staff and volunteers (including incident reporting and first aid) Workers' Compensation and Injury Management Administer the workers' compensation program, including claims processing coordination with the district's third-party administrator Ensure timely incident reporting, claim documentation, and communication with injured employees and supervisors Ensure compliance with state workers' compensation laws and school policies; maintain records for audits Qualifications Experience managing school facilities, safety programs, and capital projects is preferred. Associates or Bachelor's degree in Facility Management, Engineering, Safety Management, Construction Management, Business Administration, or a closely related field is preferred is preferred. Experience coordinating with K-12 schools or educational institutions is strongly preferred. Demonstrated track record managing capital projects, vendor relationships, and regulatory compliance. Knowledge of building codes, safety standards, and emergency management best practices is preferred. Working knowledge of local, state, and federal regulations related to facilities, safety, accessibility (ADA), environmental health, and workers' compensation. Experience with safety, security, and emergency management standards in educational settings. Prior project management, budgeting, and procurement experience. Basic understanding of mechanical, electrical, and plumbing systems; ability to supervise preventive maintenance and energy management initiatives. Physical Requirements Ability to routinely inspect facilities, access mechanical rooms, and occasionally lift or move materials as needed.
