We take a hands-on approach to our portfolio, with a strong focus on operational excellence, property condition, and resident and tenant experience. We are seeking an experienced Area Facilities Manager to oversee maintenance and facilities operations across our growing portfolio. This position will lead maintenance teams, oversee vendors and building systems, manage preventive maintenance and capital projects, and ensure our properties are safe, compliant, and operating efficiently. Key Responsibilities Oversee daily maintenance and facilities operations across multifamily, mixed-use, and commercial properties. Manage preventive maintenance, repairs, inspections, work orders, unit turns, and overall property condition. Maintain building-system inventories and service histories for every property. Ensure HVAC, electrical, plumbing, roofing, elevators, fire/life-safety, access control, and other building systems remain safe and operational. Establish and enforce work-order response-time standards; emergency work orders are handled same-day. Hire, train, supervise, and evaluate maintenance personnel while managing staffing, scheduling, and on-call coverage. Manage vendors and contractors, including bidding, contract negotiations, scheduling, quality control, and cost management. Verify certificates of insurance are current for all vendors and contractors before they begin work on site. Develop and manage maintenance operating budgets and assist with annual capital planning and forecasting. Review and approve maintenance invoices before submission to accounting; track spend vs. budget and flag variances early. Conduct regular property inspections and ensure identified deficiencies are corrected promptly. Own the make-ready process between move-out and move-in — scope, schedule, quality control, and turnover budgets — coordinating with leasing to hit target turn times and protect occupancy. Ensure compliance with the City of Philadelphia, OSHA, ADA, building and fire codes, and other applicable regulatory and safety requirements. Support emergency preparedness and respond to significant building or property emergencies as needed. Drive the annual winterization program across all properties (target completion: November 15) and coordinate snow/ice and storm-season readiness. Partner with the Vice President of Operations and CEO on capital projects, major repairs, and long-term facilities planning. Deliver a weekly operations brief to ownership: open work orders, turn status, spend vs. budget, and upcoming capital needs. Coordinate construction-to-operations transitions, warranties, punch-list items, and building-system turnover for new developments. Assist with commercial tenant build-outs, alterations, and facilities-related landlord responsibilities. Identify opportunities to reduce operating costs, improve building efficiency, and extend the useful life of major equipment. Qualifications You're strategic, hands-on, and ready to lead.
You bring:
5-7+ years of experience in multifamily, mixed-use, commercial, affordable housing, or facilities management. 3+ years of leadership experience overseeing maintenance or technical teams. Strong knowledge of HVAC, electrical, plumbing, mechanical, fire/life-safety, and general building systems. Experience with preventive maintenance, property inspections, capital projects, and vendor/contractor management. Experience managing maintenance budgets and controlling operating costs. Strong leadership, communication, organizational, and problem-solving skills. Proficiency with Microsoft Office, Google, and property-management platforms. Ability to manage multiple properties and priorities in a fast-paced environment. Valid driver's license, reliable transportation, and ability to travel regularly throughout the portfolio. High school diploma or GED required; degree or relevant trade certifications such as HVAC, EPA, OSHA, CAMT, IFMA, or BOMA preferred. Available for on-call emergency response. Bilingual English/Spanish a plus.
