FACILITY MANAGER JOB SUMMARY
Manage and direct day-to-day facility maintenance operations for a portfolio of student housing facilities in various states across the US. The FM is expected to build and maintain strong relationships thru clear communication with students, vendors, and other relevant parties to ensure quality and timely response to facility needs. Primary responsibility is processing incoming work orders for timely completion with local vendors- being completed remotely from main office in Indianapolis which is states away from the property.
ESSENTIAL DUTIES AND RESPONSIBILITES
Be the facility maintenance coordinator for assigned properties, including;
PROPERTY MANAGEMENT
Provide exceptional customer service to RPG tenants (undergraduate college students), customers, and vendors. Establish and maintain positive relationships with local, on-site property managers (handymen), key resident contacts, contractors, and vendors in the operation of the property. Coordinate and oversee all building operations including regular preventative and routine maintenance/inspections and incoming work orders from residents. Effectively communicate status of work orders and pending repairs and projects with tenants, customers, and vendors so that all involved know exactly what is happening at the facility. Travel to properties (in and out of state) as needed/directed (peak travel in May-June & August-September, December) Assist with billing as needed for tenant damage assessment and charges Other relevant duties as assigned
DATABASE MANAGEMENT
Update and maintain RPG's facility maintenance system FMX Review and process service requests and inspection data Create and execute regular planned maintenance schedules and tasks Update records of vendors, including but not limited to, images, documents, invoices, inspections Update and maintain records of facility assets and inventory Prepare weekly, monthly, quarterly, and annual maintenance reports
QUALIFICATIONS
High school diploma or general education degree (GED) required. High attention to detail and deadlines Exceptional organizational and communication skills (both written and verbal including presentation skills) Excellent communication and customer service skills required Self-motivated and takes initiative Proficiency with MS Word, Excel, Outlook Ability to manage several projects at once Bachelors or Associates Degree preferred with focus on construction / facility operations / property management Commercial or multi-family property management or facility operations experience strongly preferred Knowledge of vendor and skilled trades preferred Knowledge of Fraternities/Sororities preferred Willingness and ability to travel Pass a background check Hybrid work schedule required for downtown Indianapolis offices.
