Job Description
This position is responsible for ensuring that every event is set accurately, efficiently, safely, and on schedule. The manager will oversee a small setup team, assign responsibilities, coordinate equipment movement, interpret event layouts, and conduct final inspections before the event begins.
While the primary focus of this position is event setup and execution, the role will also assist with equipment organization, inventory, basic maintenance, and overall readiness of Duvall Catering's event equipment. Core Responsibilities BEO & Layout Execution Review BEOs, floor plans, setup diagrams, and event notes prior to each event. Translate written event instructions and layouts into an accurate physical setup. Identify all equipment, furniture, service areas, bars, buffet stations, displays, and other items required for each event. Determine setup priorities and establish an efficient sequence for completing the event setup. Identify potential issues or conflicts in the BEO or layout before arriving at the venue and communicate them to management. Ensure the completed setup matches the approved layout and event specifications. Conduct a final walkthrough before the event to verify accuracy and completeness. Team Leadership Lead and supervise a small event setup team. Assign specific setup responsibilities based on the BEO, layout, timeline, and team members' abilities. Clearly communicate expectations, deadlines, and setup standards. Work alongside the setup team to complete the work rather than functioning solely in a supervisory capacity. Monitor progress throughout the setup and adjust assignments as necessary. Ensure the team remains productive and on schedule. Train team members on proper equipment handling, setup procedures, safety, and Duvall Catering standards. Address performance issues and provide direction when necessary. Equipment Setup Coordinate the loading, transportation, unloading, placement, assembly, and breakdown of event equipment. Set up tables, chairs, bars, buffet stations, food-service equipment, shelving, carts, displays, and other event equipment according to the BEO and layout. Ensure equipment is positioned accurately and professionally. Confirm appropriate spacing, alignment, access, and guest flow. Ensure equipment is clean, presentable, and functional before being placed. Make field adjustments when venue conditions require modifications to the approved layout. Communicate any significant deviations from the BEO or layout to the appropriate manager. Event Timeline & Execution Arrive prepared and ensure the setup team is ready to begin according to the scheduled timeline. Establish setup deadlines and monitor progress throughout the process. Prioritize critical areas that must be completed before other portions of the setup. Coordinate with event managers, chefs, venue representatives, and other Duvall Catering staff. Ensure all setup responsibilities are completed before the required event-ready time. Respond quickly and professionally to last-minute changes or setup requests. Final Event Inspection Before releasing the setup to the Event Manager or client, verify: Tables and chairs are placed according to the approved layout. Bars and buffet stations are positioned correctly. Food-service equipment is in the correct location. Event equipment is clean and presentable. Guest pathways and service areas are clear. Equipment is properly aligned and safely positioned. The setup matches the BEO and floor plan. No required equipment or setup elements are missing. The venue is ready for the event team and guests. Breakdown & Equipment Recovery Lead the team through post-event breakdowns. Ensure equipment is safely dismantled, loaded, transported, cleaned, and returned. Verify that all equipment listed for the event has been recovered. Report missing, damaged, or malfunctioning equipment. Ensure equipment is returned to its designated storage location. Maintain organized equipment storage areas. Equipment Organization & Readiness Maintain organization of Duvall Catering's event equipment. Assist with equipment inventory and preparation for upcoming events. Inspect equipment for damage or functionality issues. Report equipment requiring repair or replacement. Ensure commonly used equipment is readily accessible and event-ready. Assist with loading lists and equipment preparation based on upcoming BEOs. Safety & Professional Standards Ensure all setup and breakdown activities are performed safely. Train and enforce proper lifting, carrying, loading, unloading, and equipment-handling procedures. Identify potential hazards during setup and take corrective action. Maintain professional conduct while working at client and venue locations. Protect venue property and Duvall Catering equipment from unnecessary damage. Qualifications Previous experience in catering, event setup, hospitality, event production, warehouse operations, or a related field preferred. Previous experience leading or supervising a small team preferred. Ability to read and understand floor plans, diagrams, BEOs, and written setup instructions. Strong spatial awareness and attention to detail. Ability to visualize a finished event setup from a diagram or written instructions. Strong organizational and time-management skills. Ability to work effectively under tight deadlines. Strong problem-solving and decision-making skills. Ability to communicate clearly with team members, managers, chefs, venues, and clients when necessary. Valid driver's license Required. Ability to drive vans and box trucks required. Physical Requirements Ability to lift, carry, push, and pull event equipment. Ability to lift 50 pounds or more with assistance when necessary. Ability to stand and walk for extended periods. Ability to bend, kneel, climb stairs, and work in a variety of venue environments. Ability to work indoors and outdoors in varying weather conditions. Schedule This is an event-driven position and requires flexibility. The Event Setup & Facilities Manager may be required to work early mornings, evenings, weekends, holidays, and extended hours based on Duvall Catering's event schedule. What Success Looks Like A successful Event Setup & Facilities Manager ensures that: The team knows exactly what needs to be done before arriving at the venue. Equipment is loaded and transported efficiently. Setups accurately reflect the BEO and approved layout. Events are completely setup by the required deadline. The setup team works efficiently and professionally. Problems are identified and addressed before they affect the event. Final setups are clean, organized, accurate, and presentation-ready. Breakdowns are completed efficiently and all equipment is recovered. Duvall Catering's event standards are consistently met. Ideal Candidate The ideal candidate is a detail-oriented, hands-on leader who can look at a BEO and floor plan and turn it into a finished event setup . They are comfortable directing a small team, moving equipment, solving problems in real time, working under deadlines, and taking ownership of the entire setup process. They understand that small details matter. Tables need to be in the right locations, bars need to be properly positioned, equipment needs to be where the culinary and service teams expect it, and the entire room needs to be ready before guests arrive. The Event Setup & Facilities Manager is ultimately responsible for making sure the physical execution of the event matches the plan.
