Job Summary:

The Safety & Facilities Manager is responsible for coordinating and administering the company's Environmental, Health, and Safety (EHS) programs while maintaining the company's warehouse, office, and grounds. This position serves as the primary coordinator for safety compliance across field operations, warehouse activities, contracted vendors, and customer-required safety programs. The role also oversees facility maintenance, vendor management, building services, and capital improvement projects. The Safety & Facilities Manager serves as the primary safety liaison between the company, its employees, customers, regulatory agencies, insurance providers, subcontractors, and facility vendors. Expected Time Allocation 10% Facility inspections and vendor coordination 15% Facility projects and maintenance oversight 25% Customer contractor compliance packages and documentation 20% Safety training and record management 20% Field audits, fleet audits, and warehouse inspections 10% Incident investigations, fleet safety management, and reporting This position is not responsible for warehouse receiving, shipping, inventory management, or logistics operations.

Key Responsibilities:

Safety & Compliance Management (75%) Safety Program Administration Coordinate and administer the company's safety program for field and warehouse operations. Ensure the facility is in compliance with

NFPA 855

regulations for Lithium-Ion products. Maintain safety manuals, policies, procedures, and training records. Perform monthly fire equipment inspections. Assist local Fire Marshals during fire system inspections. Ensure compliance with federal, state, and local safety regulations. Assist leadership with implementation of safety initiatives and best practices. Develop and maintain a company-wide safety training matrix. Coordinate annual reviews and updates of safety policies and procedures. OSHA & Regulatory Compliance Maintain OSHA-required documentation and records. Manage OSHA 300, 300A, and 301 logs. Coordinate regulatory inspections and audits. Track corrective actions and ensure timely completion. Monitor regulatory changes and recommend policy updates. Maintain all required safety documentation and records for internal and external audits. Client Safety Compliance Serve as the primary point of contact for customer safety requirements. Complete customer safety questionnaires and contractor prequalification packages. Coordinate submissions for contractor safety programs. Maintain safety metrics required by customers and third-party compliance platforms. Support contract bid processes requiring safety documentation. Manage customer safety portals and contractor compliance systems. Incident Management Coordinate reporting and investigation of injuries, vehicle incidents, property damage, and near-miss events. Conduct root cause investigations. Develop corrective action plans. Track closure of corrective actions. Prepare incident reports for management review. Analyze incident trends and recommend preventive measures. Safety Training & Communication Coordinate employee safety training programs. Maintain training records and certifications. Schedule recurring safety meetings. Support toolbox talks and safety stand-downs. Coordinate onboarding safety training for new employees. Ensure required certifications remain current. Coordinate OSHA, First Aid/CPR, Forklift, Fall Protection, Electrical Safety, and customer-required training. Field Operations Safety Support Conduct field safety observations and audits. Coordinate safety equipment specification, purchase, and tracking. Perform warehouse safety inspections. Assist supervisors in addressing unsafe conditions and behaviors.

Maintain driver qualification records and required documentation. Coordinate Motor Vehicle Record (MVR) reviews and driver eligibility verification. Track vehicle incidents, accidents, and near-miss events. Conduct vehicle incident investigations and root cause analyses. Develop and monitor corrective actions resulting from vehicle incidents. Coordinate defensive driving and fleet safety training programs. Monitor driver compliance with company vehicle policies. Support fleet telematics, GPS, and driver scorecard programs. Analyze fleet safety trends and recommend improvements to reduce risk and liability. Contractor & Vendor Safety Review contractor safety documentation. Verify vendor compliance with site safety requirements. Coordinate contractor orientation activities. Monitor contractor safety performance while on company property. Ensure subcontractors meet customer and company safety requirements. Emergency Preparedness Maintain emergency response plans. Coordinate fire drills and emergency preparedness exercises. Ensure emergency equipment inspections are completed. Manage facility evacuation plans and emergency contact procedures. Support business continuity and emergency response planning. Safety Metrics & Reporting Develop and distribute monthly safety reports. Track key safety performance indicators. Monitor training completion rates. Analyze incident trends and recommend improvements. Present safety performance updates to leadership. Maintain customer-required safety statistics and reporting metrics. Facilities Management (25%) Building Operations & Maintenance Manage the day-to-day maintenance and operation of the warehouse and office facility.

Coordinate repairs involving:

HVAC systems Electrical systems Plumbing systems Lighting systems Fire protection systems Security systems Overhead doors and dock equipment Conduct routine facility inspections. Develop and manage preventive maintenance schedules. Track maintenance records and service histories. Serve as the primary point of contact for the landlord's property management team. Vendor Management Manage relationships with facility vendors and contractors. Coordinate janitorial, landscaping, pest control, waste management, HVAC, plumbing, electrical, and security vendors. Obtain and evaluate competitive bids. Verify quality of contractor work. Monitor facility-related expenses and budgets. Facility Appearance & Security Ensure warehouse, offices, and grounds are maintained in a clean, safe, and professional manner. Oversee building security systems and access controls. Coordinate facility improvement projects. Monitor utility consumption and identify cost-saving opportunities. Maintain facility readiness for customer visits, audits, and inspections.

Qualifications:

Required 5+ years of experience in occupational safety, EHS, facilities management, operations, or a related field. Working knowledge of OSHA regulations and safety program administration. Experience conducting audits, inspections, incident investigations, and corrective action tracking. Experience coordinating contractors, vendors, and customer compliance programs. Strong organizational and project management skills. Proficiency with Microsoft Office and electronic recordkeeping systems. Preferred OSHA 30 Certification. Certified Safety Professional (CSP), Occupational Health & Safety Technologist (OHST), or working toward certification. Experience supporting utility, energy, construction, telecommunications, or field service organizations. Experience administering fleet safety programs. Experience managing contractor safety compliance programs. Experience managing industrial or warehouse facilities.
