Job Requisition:
Facility Coordinator Position Summary The Facility Coordinator supports the day-to-day condition, cleanliness, and operational readiness of community facilities and amenities through routine observation, documentation, coordination, and reporting. The role is administrative and coordinative in nature and is responsible for identifying and escalating facility-related concerns to the appropriate authorized parties in accordance with Board-approved direction, contractual requirements, and Inframark policies and procedures. Important Duty Limitation (Risk Management): This position performs routine visual observations and reporting only. This role does not provide professional safety inspections, engineering evaluations, code compliance determinations, emergency response services, or guarantees of safety or continuous monitoring of any facility or amenity. Essential Functions Facility Observation, Documentation & Readiness Support Conduct routine visual walkthroughs of common areas and amenities to identify visible issues impacting cleanliness, basic functionality, or apparent hazards. Document and escalate observed concerns to the Community Manager or authorized representative. Maintain administrative logs for facility assets and operational supplies as assigned. Maintain visitor and facility-contact logs in accordance with reporting and record-handling requirements.
Safety Escalation Protocol:
When an apparent urgent hazard is observed, the Facility Coordinator will follow established escalation procedures. The Coordinator is not required or authorized to perform repairs or hazardous tasks outside of training and authorization. Vendor Coordination & Administrative Oversight Coordinate scheduling and site access for vendors as directed. Maintain administrative documentation confirming service occurrence. Collect required vendor documents prior to payment processing.
Authority Limitation:
This position has no authority to bind Inframark or the client, approve contract changes, authorize additional work, or accept completed work. Financial Controls & Documentation Process facility-related invoices as assigned with documented approvals. Support invoice tracking and compliance documentation.
Financial Role Limitation:
All financial responsibilities are administrative and ministerial in nature and do not create fiduciary or independent spending authority. Reporting & Governance Support Prepare facility-related reports as assigned. Support meeting materials and record retention. Maintain professional communication through established governance channels. Qualifications High school diploma or equivalent required. 2-4 years of facilities or administrative experience preferred. Strong organizational, documentation, and communication skills. Physical Requirements Ability to walk community sites and work indoors and outdoors as needed. This role does not require performance of repairs, regulated work, or hazardous activities unless separately authorized.
