The Facilities Operations Specialist provides operational and compliance support to the engineering team within a defined region. This role ensures efficient building operations by managing work order and preventative maintenance systems, coordinating vendors, tracking compliance, and maintaining audit readiness. The position requires strong organizational skills, attention to detail, and the ability to collaborate across teams to support regional success.
  • Responsibilities
  • + Support Engineering and Property Management teams with administrative tasks, including scheduling, meeting notes, data entry, document formatting, and tenant communications.
+ Learn and assist with specialized software platforms (e.g., PRISM, PMWeb, Salesforce) to support work orders, preventative maintenance, inspections, and basic project documentation. + Assist with account setup, equipment records, and compliance documentation to ensure accuracy and audit readiness. + Help coordinate vendor appointments, site access, and maintain organized property folders across shared platforms. + Monitor and support code compliance and fire-life-safety programs by scheduling inspections, tracking deficiencies, and maintaining related documentation. + Generate reports, schedule compliance tasks, and participate in team calls to provide updates. + Maintain and ensure Standard Operating Procedures (SOPs) are up to date and accessible for engineering and operational processes. + Provide support for special projects, platform migrations, and maintain consistent file structure and version control. + Deliver excellent customer service and collaborate with property and engineering teams to ensure smooth operations.
