Job Description
What Impact You'll Have As the first point of contact for the office, the Facilities Assistant sets the tone for a professional, welcoming, and efficient experience for employees, visitors, and vendors alike. This role keeps daily office and facilities operations running smoothly — spanning reception and visitor management, administrative and meeting support, mail and supply coordination, copy center and audiovisual (AV) assistance, and workplace experience initiatives. The ideal candidate is organized, proactive, and service-oriented, with a proven ability to juggle competing priorities in a fast-paced environment. What You'll be Owning Front Desk & Visitor Management Greet visitors, employees, and vendors in a professional and courteous manner, serving as the welcoming face of the office. Manage visitor sign-in procedures and issue badges in coordination with the FSO. Notify employees promptly of guest arrivals and deliveries. Maintain a clean and organized reception area to ensure a positive first impression. Administrative Support Coordinate meetings, including reserving conference rooms, arranging catering, setting up rooms, and resetting them after use. Support copy center operations, including printing, scanning, copying, and binding, and keeping equipment stocked and in working order. Assist with general office communications and scheduling needs. Facilities & Office Operations Assist with: Hanging whiteboards, moving desks Escort visitors and maintenance personnel as needed Repair and Maintain office appliances and equipment as needed Receive, sort, and distribute incoming mail and packages, and coordinate outgoing shipments and couriers. Monitor and replenish office and pantry supplies, ensuring kitchens, pantries, and copy areas remain fully stocked and presentable. Assist with audiovisual (AV) requests, including setting up and troubleshooting conference room equipment, video conferencing, and presentation technology. Submit and track facilities and maintenance requests to keep the workplace safe, functional, and well-maintained. Oversee parking validation and visitor access. Escort vendors and service providers when necessary. Lift up to 50 lbs. as required for office operations. Provide Support for all office-related tasks and projects, as needed. What You Must Have Strong communication and customer service skills. Proven ability to repair and maintain office appliances and equipment (i.e. coffee makers) Ability to multitask and prioritize in a dynamic, fast-paced environment. Proficiency with office software (e.g., Microsoft Office, Google Workspace) Familiarity with copy center and AV/conference room technology. Professional demeanor and strong attention to detail.
