Work Schedule As scheduled by the supervisor. This is an on-site position. Sensitive Position No Job Description Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. Provides comprehensive administrative and project coordination support for the college's construction, capital outlay, maintenance reserve, and locally funded projects and programs. The position assists the Director of Facilities Management & Planning and the Facilities Manager in the day-to-day operations of their respective divisions and supports the planning, coordination, and administration of projects across all college campuses. Responsibilities include developing project schedules; preparing and maintaining project and contract documentation; coordinating the bidding process; tracking and reconciling project-related paperwork, spreadsheets, budgets, and schedules; communicating with internal departments, end users, contractors, vendors, project managers, and other stakeholders. The Facilities Assistant assists in monitoring and documenting contractor performance and communicates concerns to Facilities management. The position supports projects requiring review or approval by the Virginia State Bureau of Capital Outlay Management ( BCOM ), assists in maintaining required documentation and coordination, and supports compliance with applicable building codes and local, state, and federal requirements. The position responds professionally and promptly to internal and external faculty, staff, students, customers, contractors, vendors, and the public, providing accurate information and appropriate follow-through. Demonstrates sound judgment and effective decision-making in prioritizing requests, adapting to changing priorities, resolving issues, and supporting multiple projects simultaneously. Performs special projects and other duties as assigned in support of the college's facilities management, planning, construction, and capital improvement objectives. Provides administrative support through record keeping, tracking project-related procurement and purchasing documentation, maintaining the work order system, tracking job orders, developing and maintaining spreadsheets, and coordinating project-related information. Project assignments may range from routine maintenance and construction activities to complex projects involving multiple departments and stakeholders. Special Assignments May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor. KSA's/Required Qualifications Knowledge of building trades, construction practices and procedures, and applicable building codes and regulations, including
OSHA , NFPA
, and DGS . Knowledge of DGS and VCCS procedures and requirements. Demonstrated ability to support the planning and coordination of construction projects, monitor and document contractor work, and understand technical, contractual, and regulatory requirements relevant to assigned responsibilities. Ability to coordinate assigned project activities, read and interpret architectural and engineering drawings, maintain project documentation, and support the administration of multiple contracts. Proficient in Microsoft Office applications, including Word, Access, and Excel. Strong customer service, organizational, and communication skills, with the ability to effectively interact with students, faculty, staff, contractors, and other stakeholders.
Required:
  • High school diploma or equivalent.
  • Valid driver's license.
  • Experience in construction, facilities management, construction project coordination, project administration, or a related field.
  • Experience maintaining project, construction, contract, or comparable technical documentation.
  • Experience using computer applications, spreadsheets, databases, or project-tracking systems.
  • Demonstrated ability to coordinate multiple assignments, priorities, and deadlines.
Additional Considerations Preferred:
  • Experience supporting construction, renovation, capital outlay, maintenance reserve, or facilities projects.
  • Experience working with architectural/engineering drawings, construction documents, contracts, or related technical documentation.
  • Experience with state or public-sector construction, procurement, or facilities processes.
  • Experience with eVA, Newforma, e-Builder, Procore, Construction Hive, or comparable systems.
  • Knowledge of
DGS , VCCS , OSHA , NFPA
, building-code, or related requirements.
  • OSHA 30-Hour Construction certification. Candidates without the certification must complete the course within six months of hire.
