Position:
The Facilities Management Coordinator provides administrative and operational support for maintenance and facilities functions at Goodwin House Bailey's Crossroads. This role coordinates work orders, preventive maintenance activities, vendor services, inventory management, and regulatory documentation to ensure safe, efficient, and compliant facility operations. The Coordinator serves as a key liaison between residents, staff, contractors, and Facilities Management leadership while supporting multiple departments, including Maintenance, Environmental Services, Life Safety, Grounds, and Corporate Laundry, with a strong focus on customer service, organization, and operational excellence. The schedule is M-F 9-5 or 8-4 The pay is $25/hr-$27/hr
Duties:
Coordinate and manage maintenance work orders from initiation through completion. Schedule, assign, track, and follow up on maintenance requests and preventive maintenance activities. Support planning and coordination of daily maintenance operations at Goodwin House Bailey's Crossroads (GHBC). Ordering maintenance supplies, tools, equipment, and materials. Maintain inventory records and monitor stock levels to support uninterrupted operations. Support the scheduling of vendors, contractors, inspections, and service providers. Track project schedules, documentation, invoices, and contractor deliverables. Maintain electronic life safety documentation, including inspection reports, testing records, permits, certifications, and compliance records. Support regulatory surveys, audits, and accreditation activities through document management and record retention. Generate reports, spreadsheets, presentations, and operational metrics for Facilities Management leadership. Support emergency preparedness efforts and assist during facility-related incidents as needed. Support multiple Facilities Management departments, including: Maintenance, Environmental Services (ES), Life Safety, Grounds, Corporate Laundry, Additional Facilities Management functions as assigned
Qualifications:
Minimum of 2 years of experience in a similar role Strong organizational and project coordination skills. Experience with work order management systems is preferred such as WorxHub. Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams. Ability to manage multiple priorities and deadlines simultaneously while maintaining attention to detail. Strong verbal and written communication skills. Ability to work independently while collaborating effectively with multiple departments. Commitment to customer service and continuous improvement.
