Job Description

Facilities Coordinator The Facilities Coordinator is responsible for supporting safe, compliant, and efficient facility operations by coordinating maintenance activities, managing third-party service providers, maintaining facility records, and supporting equipment, contractor, and site readiness needs in accordance with VSP Quality, Safety, and Environmental requirements. Essential Functions Manage facility-related service agreements with third-party contractors, including scheduling work, coordinating access, monitoring performance, and maintaining related documentation. Coordinate facility maintenance needs, including repairs, general upkeep, housekeeping, grounds, utilities, and building systems, either directly or through approved contractors. Manage preventive maintenance activities for facility equipment, machinery, building systems, and related assets to support safe and reliable operations. Coordinate service, preventive maintenance, and repairs for FlashCut machines by working with Service Experts, the OEM, internal stakeholders, and approved vendors. Maintain and manage SML checklists, ensuring required tasks are completed, documented, and escalated when follow-up action is needed. Support compliance with safety initiatives, facility requirements, contractor safety expectations, and applicable company policies and procedures. Conduct and support facility audits, inspections, and walkthroughs; document findings and coordinate corrective actions through completion. Prepare the facility for inclement weather and emergency conditions, including readiness planning, coordination of supplies or services, and post-event inspections or follow-up. Receive, prioritize, track, and close facility-related work requests while communicating status updates to affected employees and departments. Assemble, move, and coordinate relocation of racking, equipment, desks, workstations, furniture, and related materials as needed to support operational needs and space changes. Maintain facility records, maintenance logs, inspection reports, service documentation, warranties, manuals, and other compliance-related records. Coordinate quotes, purchase requests, invoice review, and expense tracking for facility maintenance, repairs, service agreements, supplies, and improvement projects. Support facility improvement projects, equipment installations, layout changes, and contractor-coordinated work to ensure projects are completed safely, efficiently, and with minimal disruption. Maintain positive working relationships with employees, contractors, vendors, and internal departments to promote cooperation, responsiveness, and effective facility support. Adhere to all company Health, Safety, and Environmental policies and procedures as outlined in the VSP Health & Safety Manual and actively contribute to maintaining a safe, compliant, and environmentally responsible workplace.
Experience / Education
High school diploma or equivalent Experience in facilities maintenance, contractor coordination, equipment maintenance, manufacturing, distribution, or a related environment required Knowledge of safety practices, facility compliance requirements, preventive maintenance, and basic building systems required Proficiency with Microsoft Office applications and ability to maintain accurate records, checklists, and reports. Job Type:
Full-time, Monday-Friday, 8:00 a.m. to 5:00 p.m. Occasional evening and weekend work may be required as job duties demand.
Travel:
Limited local travel may be required to obtain supplies, coordinate services, or support facility-related needs.
