at Momentum Manufacturing Group in St Johnsbury , Vermont, United States Job Description Maintenance Systems Coordinator Position Summary Provides administrative and coordination support to the Maintenance Department, with a strong focus on Excel-based reporting and CMMS recordkeeping. This role is primarily office-based, supporting day-to-day maintenance operations through CMMS administration, scheduling, documentation, vendor coordination, and purchasing. Responsibilities also include light safety-related filing and paperwork. This position supports multiple facilities and may travel periodically to assist with maintenance operations, asset management, documentation projects, and continuous improvement initiatives. Essential Responsibilities CMMS Administration & Documentation
  • Maintain asset records, work order documentation, equipment manuals and drawings, and equipment history within the CMMS.
  • Support preventive maintenance scheduling, tracking, and reporting.
  • Maintain maintenance-related files, including equipment records and lockout/tagout (LOTO) documentation.
  • Assist with light safety-related filing and paperwork as needed. Coordination & Communication
  • Coordinate vendors and contractors, schedule service visits, and follow up on open work orders and deliverables.
  • Serve as a point of contact for the maintenance team, helping manage scheduling, communications, and documentation.
  • Provide support across multiple facilities. Purchasing & Reporting
  • Create and track maintenance purchase orders and assist with maintenance cost reporting.
  • Build simple reports and KPI summaries in Excel to keep the team and leadership informed. General
  • Support maintenance projects, asset management initiatives, and continuous improvement efforts.
  • Travel to company locations as needed to support maintenance operations and projects.
  • Perform other duties as assigned. Required Qualifications
  • Associate degree or equivalent experience in business administration, operations support, or a related field.
  • Prior experience in an administrative, coordination, or operations support role; maintenance or manufacturing environment a plus, but not required.
  • Good organizational and communication skills, and comfortable managing a few things at once.
  • Comfortable working in Excel — building simple reports, using basic formulas, and keeping data organized. No need to be an expert; we'll help you grow these skills. Technical Skills
  • Working knowledge of Microsoft Excel — comfortable with formulas and everyday reporting tasks. Familiarity with PivotTables or XLOOKUP is a plus, not a requirement.
  • Comfortable using Microsoft Word to create and update simple documents, forms, and procedures.
  • Comfortable using Microsoft Outlook for email and calendar coordination.
  • Willingness to learn a CMMS system if you haven't used one before — training provided. Preferred Qualifications
  • Experience supporting manufacturing, facilities, or industrial maintenance operations.
  • Familiarity with maintenance purchasing processes, vendor coordination, or KPI reporting.
  • Microsoft Office Specialist (MOS) certification in Excel and/or Word is a plus.
  • Exposure to Power BI or other reporting tools is a plus.
Work Environment This position is primarily office-based. Occasional access to manufacturing floor areas may be required, where exposure to noise, machinery, temperature variation, and other industrial conditions may occur.
