DEVELOPMENT COORDINATOR
Chatham County Partnership for Children Job Statement Reporting to the Research and Development Director (R&D Director), the Development Coordinator will support and advance the fundraising efforts of the Partnership for Children to sustain and grow organizational impact. This position will help build and strengthen the organization's development function, with a focus on donor engagement, stewardship, partnership development, and event coordination.
Planning:
- Develop and execute the organization's annual fundraising plan.
- Serve as staff liaison to the Fundraising Committee of the Board of Directors (schedule meetings, set agenda, present data/reports).
- Create and execute a strategy for building and maintaining a large, sustained base of annual individual donors.
- Develop and maintain a detailed written work plan in collaboration with the Executive Director; update as needed.
Donor Information Management:
- Responsible for overall donor database management, including creation and maintenance of accurate donor records (pledges, gifts, and in-kind donations), data entry, queries, segmented lists, and reporting.
- Manage donor information systems; responsible for data entry and gift processing in CandI in coordination with the finance department.
- Reconciliation of funds - coordinate with the Finance team to ensure accuracy and consistency between donor management software and accounting systems through monthly reconciliation.
- Donor acknowledgement/stewardship - ensure all donor acknowledgements (thank-you letters) are sent within 48 hours of receiving a donation. Coordinate acknowledgement processes, including reporting, personalization, and production of letters.
- Ensure timely and thoughtful follow-up with donors, including closing feedback loops on how contributions are used and the impact they support.
Donor Development:
- Secure financial support from individuals, foundations, corporations, and local businesses.
- Develop and maintain ongoing relationships with donors and sponsors.
- Proactively follow up with potential donors and sponsors to move opportunities forward, close commitments, and ensure clarity on next steps.
- Maintain consistent communication with partners to close feedback loops and strengthen long-term engagement.
- Work with the Research and Development Director on developing and tracking grant proposals and reports for foundation and corporate fundraising.
Business & Community Partnership Development:
- Build and maintain relationships with local businesses to support sponsorships, partnerships, and in-kind contributions.
- Coordinate and finalize arrangements with local businesses, including sponsorship agreements, event participation, and partnership details.
- Ensure all partnership commitments are clearly documented, fulfilled, and communicated across internal teams.
Reindeer Run 5
K Race Coordination:
- Lead planning and execution of the annual Reindeer Run 5K Race and serve as staff lead for the Race Committee and Advisory Committee to ensure strong community engagement.
- Manage all event logistics, including registration packet pick-up, race day setup, breakdown/cleanup, volunteer coordination, and vendor/partner management.
- Partner with the Executive Director and Fundraising Chair to develop the event budget, fundraising goals, sponsorship strategy, and Sponsorship Benefits Package.
- Solicit and manage sponsorships and donations (monetary and in-kind), including maintaining relationships, closing commitments, and providing regular progress updates.
- Coordinate key partnerships and resources (venue, law enforcement, public services, timing companies, etc.
), manage event materials and inventory, and ensure all administrative and financial processes are completed in accordance with organizational policies.
Direct Mail Coordination:
Coordinate mailing of direct mail pieces to constituents, including managing timelines and working with printers and mail houses to ensure deadlines are met in collaboration with the Executive Director and external partners.
Fundraising Event Support:
Oversee the organization of fundraising events, including logistics, coordination with venues, and event setup. Provide staff support for the Events Committee, including planning, implementation, and evaluation of events related to donor cultivation, stewardship, and solicitation.
Desired Experience, Skills and Knowledge:
- College degree or equivalent.
- Experience in fundraising, donor management, and public relations a must.
- Advanced Microsoft office skills, emphasis on Word, Excel, Outlook and PowerPoint.
- Relational database experience required (CandI, Greater Giving, or other donor management software).
- Graphic design experience preferred (Adobe, Canva, website development and maintenance)
- Excellent written and verbal communication and editing skills.
- Ease of communication with donors in written form and/or in person meetings and presentations.
- High level of energy, proactive, self-starter with a strong sense of ownership; ability to complete assignments independently, efficiently and in a timely manner.
- Strong organizational and time-management skills with strict attention to detail; ability to balance a variety of activities and priorities and organize multiple tasks to meet deadlines.
- Positive demeanor with strong customer service skills and ability to work cooperatively with coworkers and constituents/supporters.
- Demonstrated excellence in organizational, managerial, and communication skills.
- Flexible and able to adjust activities and priorities and take on new responsibilities.

Position Status:
Regular full-time, 100 FTE (40 hours per week; minimum 2 day onsite, 3 preferred)

$44,821.00-$55,000.00 full time equivalent salary
