Job Description
Description Who is the PETA Foundation's Membership Services Department? Our team is a group of dedicated individuals who help to ensure that PETA's work for animals is possible by meeting the needs of our donors and supporters. Through donation processing, updates to vital information, and meaningful phone and e-mail correspondence, we keep our supporters engaged and informed about how their commitment is paying off for animals. If you join our team, you'll play a vital role in helping individuals live a more cruelty-free lifestyle and encouraging financial support for PETA's groundbreaking work to end animal abuse and suffering. This role offers a hybrid work schedule at our Norfolk, Virginia headquarters.
Position Objectives:
- Lead and oversee PETA's membership and fundraising operations strategy, ensuring accuracy, efficiency, and continuous improvement across donation processing, data management, and operational workflows
- Responsible for leading membership and fundraising logistics, tasks, and executing projects across teams that support strategic initiatives aimed at enhancing member engagement and operational excellence
- Provide direct management and development of operations and/or administrative staff, including performance management, coaching, and career development
- Establish team priorities, workload distribution, and accountability for performance outcomes
Primary Responsibilities and Duties:
- In consultation and verified compliance with the objectives, standards, and requirements communicated by
PETA:
- Oversee end-to-end membership and donation processing, ensuring timely acknowledgments, accurate data maintenance, and seamless operation execution
- Set operational strategy and priorities, and oversee cross-team coordination of data entry, processing workflows, and task prioritization to support fundraising goals and organizational objectives
- Serve as the operational lead for membership and fundraising systems, continuously expanding expertise of fundraising databases and platforms, organizational needs
- Oversee the upload, reconciliation, and integration of donation files and database updates, ensuring data integrity across platforms
- Oversee the returned and declined donation processing and ensure timely donor communication
- Establish, refine, and maintain data hygiene by identifying and correcting inaccurate or incomplete records using database tools and reports
- Develop and implement quality control procedures to ensure data consistency and accuracy
- Establish and regularly report on operational performance with key performance metrics related to donation processing and data quality
- Ensure compliance with data security standards, including PCI DSS and internal and organizational policies
- Define departmental goal setting, system improvements, and long-term operational planning in partnership with senior leadership
- Define and lead departmental procedures and training to ensure consistency, accuracy, and adherence to operational standards and policies
- Act as a key advisor to leadership on operational risks, opportunities, and performance trends, maintaining consistent and proactive communication, and providing hands-on support to ensure continuity of critical processes when staff coverage is limited
- Elevate team performance and foster a collaborative, high-performing environment focused on accuracy and service excellence by identifying opportunities to improve workflows and operational efficiency
- Coordinate special projects and initiatives related to supporter donor experience, payment processing, and fraud prevention, and operational enhancements or automations
- Support processing of virtual gift and in-kind gift programs
- Coordinate across departments for custom acknowledgments for special donations, including tribute gifts and Qualified Charitable Distributions (QCDs)
- Provide correspondence and logistical support for donor outreach programs, including Town Halls and special campaigns
- Support cross-departmental correspondence needs based on volume and emerging operational demands
- Manage vendor file downloads, updates, and follow-up actions to ensure timely and accurate systems integration
- Serve as a liaison with external vendors and service providers to ensure accuracy, timeliness, and alignment with organizational standards
- Make recommendations to PETA for donor cultivation, including copy review and thematic selection
- Perform additional responsibilities assigned by leadership to support organizational goals and fundraising success Requirements
- Degree in a related field or equivalent experience
- Minimum of 5 years of experience in nonprofit development, donor services, or business operations, or related fields
- Strong organizational and project management skills with the ability to manage multiple priorities
- Strong proficiency with data-entry systems and database maintenance
- Advanced competence in Microsoft Office programs, including Excel-based data manipulation
- Experience leading operations, driving process and system improvements, and working cross-functionally with senior stakeholders
- Excellent written, verbal, and interpersonal communication skills
- Strong work ethic and self-starter, able to effectively manage multiple priorities and adapt to change within a fast-paced business environment
- Demonstrated ability to work well under pressure and meet deadlines
- Demonstrated effective organizational skills and meticulous attention to detail
- Demonstrated ability to work independently
