Business Manager Southern Media, Inc. | Pensacola, FL | Full-Time About the Role Southern Media, Inc. is looking for an experienced, detail-oriented Business Manager to lead the company's day-to-day financial and administrative operations. This role is central to keeping the business running smoothly - from bookkeeping and payroll to client billing, vendor relationships, and direct support to company leadership. The ideal candidate is highly organized, comfortable managing multiple deadlines at once, and confident working across accounting software, spreadsheets, and creative business tools. Key Responsibilities
  • Manage all areas of company accounting, including accounts receivable, accounts payable, the General Ledger, and related reporting.
  • Process payroll and generate payroll reports through Paychex (or comparable platform).
  • Administer employee benefits, including 401(k) and health insurance.
  • Track and manage sick leave, vacation, and personal leave.
  • Prepare monthly financial statements - Profit & Loss and Balance Sheet (accrual and cash basis) - along with supporting reports explaining any discrepancies.
  • Provide direct support to company leadership as needed, including correspondence, email management, and order processing.
  • Manage vendor orders and instructions (signed and returned) and reconcile vendor invoices against orders.
  • Prepare monthly client invoices accurately against each client's budget in Excel, including building the spreadsheets needed each month to manage orders and invoicing.
  • Prepare monthly client invoices based on time tracked per client/project.
  • Enter daily financial data into QuickBooks and maintain checking spreadsheets and checkbook records.
  • Manage client deposit accounts for clients who pay in advance.
  • Reconcile bank statements weekly.
  • Manage and reconcile monthly credit card statements, including daily updates and payments.
  • Oversee office supplies, office utilities, and owner distributions. Software & Technical Skills Required
  • QuickBooks
  • Microsoft Office Suite (Excel, Word, and related applications)
  • Payroll platforms such as Paychex, ADP, or similar What We're Looking For
  • Prior experience in bookkeeping, accounting, or business/office management.
  • Strong attention to detail and comfort working with financial data and deadlines.
  • Excellent organizational and communication skills.
  • Ability to manage multiple priorities independently and as part of a small team.
