Job Description

We are looking for a highly organized, assertive, and driven General Manager Administrative Assistant to work directly with the General Manager and assist with the day-to-day operations of a fast-paced automotive dealership. This is not a traditional administrative assistant position. The right person will be involved throughout the dealership and will assist Sales, Service, Parts, Accounting, and Management wherever needed. Prior automotive dealership experience or a strong understanding of dealership operations is highly preferred. Our business moves quickly. Priorities can change by the hour—or sometimes by the minute. We need someone who can adjust, take ownership, and get things done without needing constant direction. What You'll Do Work directly with the General Manager on daily operational priorities Build, maintain, and update spreadsheets, reports, trackers, and management tools Assist the Sales Department with reporting, inventory, CRM follow-up, paperwork, and administrative needs Assist Service and Parts with tracking, reporting, documentation, and operational follow-up Assist Accounting with paperwork, deal documentation, missing information, and communication between departments Track outstanding items and follow up with managers and employees until they are completed Help identify problems before they become bigger problems Communicate directly with department managers and employees on behalf of the GM when necessary Help keep projects, deadlines, commitments, and departmental responsibilities organized Handle changing priorities and special projects as assigned by the GM Be willing to jump in wherever the dealership needs help Who We're Looking For You should be: Very good with spreadsheets, especially Excel and/or Google Sheets Comfortable working with numbers, reports, and dealership data Familiar with the automotive dealership business and how Sales, Service, Parts, Finance, and Accounting work together Assertive and comfortable following up with people Highly organized and detail-oriented Able to prioritize multiple responsibilities at once Comfortable working directly with senior management Able to communicate professionally with employees, customers, vendors, and managers A problem solver who doesn't wait around for someone else to handle an issue Dependable, accountable, and able to maintain confidentiality Someone with a genuine sense of urgency Competitive and motivated by accomplishing goals The Personality Matters We are looking for someone who wants to WIN . The automotive business is fast-paced and constantly changing. Some days will be organized; other days the entire plan can change without notice. You must be able to change gears quickly without becoming overwhelmed. If something needs to be done, we expect you to take ownership of it. If you are waiting on someone, follow up. If you see a problem, bring it forward. If you don't know the answer, find it. We want someone who can eventually become the GM's right hand —someone trusted to know what is happening throughout the dealership and help make sure things don't fall through the cracks.
Experience Preferred:
Automotive dealership experience Dealership administrative or management support experience Strong Excel/Google Sheets skills Experience working with dealership CRM/DMS systems Experience supporting multiple departments Experience is important, but attitude, urgency, organization, and work ethic are just as important. Pay:
$42,000.00 - $48,000.00 per year
