Dependent on candidate, up to $38/hr Position Summary Loudoun School for Advanced Studies, a nonprofit private school serving grades 6-12, seeks a part-time Business Manager to lead financial administration and business operations. The role analyzes business needs, advises leadership, and exercises independent judgment within delegated authority on budgeting, cash flow, controls, purchasing, insurance, and compliance. The role also performs supporting bookkeeping, billing, payroll, and recordkeeping. The position reports to the Head of School and works closely with the Board of Directors. Essential Responsibilities Maintain accurate accounting records and school budget information, complete monthly bookkeeping, reconcile accounts and payment platforms for independent review, and track donations and fundraising. Process invoices, reimbursements, and payments with required approvals and documentation; determine payment priorities and resolve exceptions, escalating significant issues. Administer tuition billing and family accounts, applying approved scholarships, financial aid, discounts, payment arrangements, and refunds. Process and reconcile payroll, verify authorized changes and approvals, and administer benefits and confidential onboarding and departure records. Manage preparation of year-end financial records and coordinate adjustments, reporting, and tax preparation with the outside accountant. Manage compliance obligations and deadlines, including Virginia corporate reports, fees, tax filings, school certifications, and charitable registration or exemptions. Evaluate insurance coverage and renewal alternatives, and coordinate premiums, audits, records, and claims. Evaluate purchasing alternatives, negotiate terms and select vendors within delegated limits, and manage contracts, renewals, and approved payments. Perform other business and administrative duties as assigned by the Head of School. Qualifications Required At least three (3) years of relevant accounting, financial management, or business-office experience, or equivalent. Working knowledge of accounting, budget development, financial analysis, and cash-flow management. Proficiency with accounting software and/or spreadsheets and the ability to learn the school's tuition and payroll systems. Strong attention to detail, sound judgment, and dependable follow-through. Ability to evaluate business alternatives, make sound recommendations, and manage deadlines independently. Tact and professionalism when working with families, staff, vendors, and Board members Discretion in handling confidential financial and personnel information. Commitment to the school's mission and responsible stewardship of its resources. Preferred But Not Required Experience in a nonprofit organization or independent school. Relevant education or training in accounting, finance, or business administration; equivalent practical experience is welcome. Schedule and Performance Expectations This is a year-round position with a regular weekly schedule agreed upon with the Head of School. Time commitments will be reduced during school breaks and holidays; however, payroll and certain other business obligations continue during summer and school breaks. Occasional scheduled finance meetings and additional hours during peak periods will be arranged in advance. The Head of School and Business Manager will review workload and priorities regularly to keep responsibilities achievable within the agreed hours. Successful performance includes sound financial recommendations, effective controls, accurate records, timely payroll and filings, and responsive service to the school community.
