$48,000-$60,000 per year (depending on experience) Primarily work from home with one in-person day per week (after training period) About the Opportunity Export Computer Exchange is looking for a highly organized, capable person who wants more than a traditional administrative role. This person will work closely with the CEO and team to help keep the company organized, deals moving, priorities clear, and day-to-day operations running smoothly. We are a small, established company, which means this role has real visibility and real influence. You will learn how the entire business works, have the opportunity to improve systems and processes, and become a trusted part of how the company operates. This is a position for someone who likes variety, ownership and being the person who can take something from "we need to handle this" to "it's handled." A Schedule That Leaves Room for a Life This is a salaried position designed around approximately 30-35 hours per week , not a traditional 40-plus-hour corporate schedule. The position is primarily work from home, with one in-person workday per week . Our normal work happens during the business week. Fridays are generally light and may have little or no work depending on what is happening in the company. This is not an on-call position , and routine evening and weekend availability is not expected. There may occasionally be business travel, conferences, deadlines or unusual situations that fall outside normal hours. What You'll Actually Do Your role sits at the center of several parts of Export Computer Exchange. You'll help with: Business operations and keeping priorities moving CEO and executive-level support Deal preparation and transaction support Team coordination and follow-through Bookkeeping and financial administration Shipping and logistics coordination Customer and vendor communication Systems, files and documentation Project management Process improvement You will not personally perform every function in the company. Your value is understanding what is happening, keeping information organized, knowing what needs attention and helping make sure things move forward. CEO & Deal Support A significant part of this position is working directly with the CEO. That includes organizing information, priorities and follow-up so she can focus on relationships, sales, strategy and dealmaking.
You may:
Organize and prepare information for deals Review specifications, quantities, pricing and condition Identify missing information and ask the right follow-up questions Enter and maintain deal information Track purchase prices, selling prices, margins and changes Track payments, pickups, shipping and transaction deadlines Prepare information so the CEO can make decisions quickly Manage follow-up items and delegated projects Coordinate scheduling, travel, meetings and correspondence Research questions and gather information Help resolve routine issues before they require CEO involvement The goal is simple: once something is delegated, you can take ownership of moving it forward and keep the CEO informed without requiring her to manage every step. Business Operations & Team Coordination You'll help keep the company organized and the team aligned.
That may include:
Coordinating daily and weekly priorities Tracking deadlines and outstanding items Following up with team members Preparing for team meetings Tracking meeting action items Helping onboard and train employees Maintaining documentation and SOPs Identifying workflow problems Improving accountability and communication Making sure important information doesn't live only in someone's head This is a collaborative role. You are helping the team succeed, not simply checking boxes. Accounting & Financial Administration You'll also support the administrative side of the company's finances, including things like accounts payable and receivable, invoice review, payment tracking, reconciliations, payroll coordination, commissions, financial spreadsheets and preparation of information for our CPA. Accounting or bookkeeping experience is a plus but not required. Shipping & Logistics Export Computer Exchange works with partners throughout the United States and internationally. You'll learn our shipping process and help coordinate freight, documentation, pickups, delivery information, carriers and transaction records. Previous freight or international logistics experience is helpful, but it is not required if you are organized and able to learn. Systems & Process Improvement We love people who see a process and think, "There has to be a better way to do this." You may help: Create and update SOPs Organize shared files and information Improve spreadsheets and workflows Build templates and checklists Maintain CRM and database information Identify repetitive work that can be automated Work with our IT support Help implement better systems You do not have to know every system we use when you arrive. You do need to be comfortable learning technology. Who We Think Will Love This Role You'll probably enjoy this position if you are naturally organized, resourceful and curious.
