Immediately Job Description Mission Statement SouthSide Elementary Charter School empowers a diverse community of Providence students from kindergarten through fifth grade with a strong foundation for college readiness and community leadership. Through an extended school day and year, our rigorous curriculum fosters literacy, logical thinking, problem-solving, and civic engagement. Position Summary The Business Manager is responsible for the financial management and fiscal integrity of SouthSide Elementary Charter School. This role oversees budgeting, accounting, payroll, audit, compliance, and financial reporting functions, ensuring that all business operations are accurate, efficient, and aligned with state, federal, and organizational requirements. Working in close partnership with the Director of Education and Manager of Operations, the Business Manager evaluates the financial impact of organizational decisions and ensures strong internal controls and compliance across all financial systems. Core Responsibilities Financial Management & Reporting Maintain the general ledger and chart of accounts using Abila MIP Fund Accounting Prepare monthly and interim financial statements for internal use and Board reporting Provide clear, accurate financial reports to the Board of Directors Reconcile bank accounts and credit cards on a monthly basis Monitor expenditures and revenue to ensure alignment with approved budgets Audit & Financial Compliance Serve as the primary liaison for the annual independent audit Prepare audit schedules, financial statements, and supporting documentation Ensure compliance with all federal, state, and grant-related financial requirements Present audit results, including findings and corrective actions, to leadership and the Board Monitor and document implementation of any corrective actions Payroll & Benefits Administration Process payroll each pay cycle, ensuring accuracy and compliance Maintain payroll systems and ensure all employee data is current Reconcile payroll, benefits, and deductions Coordinate benefits enrollment, changes, and terminations with providers Ensure timely submission of retirement contributions (ERSRI, TIAA, 401k) Accounts Payable & Receivable Review and process invoices, ensuring alignment with approved purchase orders Ensure timely and accurate vendor payments Manage accounts receivable, including: Tuition billing to Providence Public School District Medicaid reimbursement submissions and tracking Reconcile receivables and maintain accurate financial records Manage petty cash and internal controls, as applicable Procurement & Financial Controls Oversee the purchasing process and ensure adherence to procurement policies Maintain strong internal controls for all financial transactions Ensure accurate documentation and approval workflows are consistently followed Grant Compliance & Reporting Ensure financial compliance for all grants (Title I, IDEA, and other funding sources) Collaborate with the Director of Education on grant budgeting and planning Submit required financial reports and reimbursement requests (AcceleGrants, etc.) Maintain documentation to ensure audit readiness for all grant-funded activities Human Resources & Financial Coordination Support HR processes related to payroll, onboarding, and employee records Maintain personnel files in compliance with record retention requirements Track certifications, licensure, and required employment documentation Support benefits administration and reporting Required Financial Reporting & Filings Complete all required state and financial reporting, including: Uniform Chart of Accounts (UCOA) submissions Quarterly reports to Municipal Finance and the Auditor General Annual retirement and worker's compensation audits Annual organizational filings and reports Collaboration with Operations Partner with the Manager of Operations on budgeting related to: Facilities Food service Vendor contracts Provide financial oversight and analysis while operational execution remains with the Manager of Operations Additional Responsibilities Attend Board meetings and present financial updates Support long-term financial planning and sustainability efforts Perform other duties as assigned by the Director of Education Qualifications Bachelor's degree in Accounting, Finance, or Business required RIDE School Business Administrator Certification required (or ability to obtain) Minimum of 3 years of experience in school or nonprofit financial management preferred Strong knowledge of fund accounting, compliance, and grant management High level of accuracy, organization, and attention to detail Compensation & Benefits Salary is commensurate with experience.
