Overview Omega Construction is seeking a hands-on Controller and Business Operations Manager to oversee the company's accounting, financial reporting, HR administration, purchasing, compliance, assets, and office administration. This position reports directly to ownership and keeps the financial and administrative side of the company accurate, organized, compliant, and efficient. Accounting and Financial Management Manage accounts payable, accounts receivable, payroll, customer billing, collections, and retainage. Maintain accurate bookkeeping, bank and credit-card reconciliations, and monthly close. Prepare and review profit and loss, balance sheet, cash-flow, budgets, forecasts, and financial recommendations for ownership. Coordinate with the company's CPA, payroll provider, banks, and insurance providers. Construction Job and Project Accounting Assign and maintain project and job numbers and cost codes. Track labor, equipment, materials, and subcontractor costs by project. Monitor project costs, profitability, billing, change orders, retainage, and estimated costs compared with actual costs. Coordinate with the company's payroll provider, review payroll for accuracy, resolve discrepancies, and maintain required payroll records. Purchasing and Expense Controls Manage purchase-order assignments, company credit cards, receipts, expense coding, and purchasing procedures. Match purchases and invoices to the proper project and monitor compliance with company spending policies. HR and Office Administration Maintain employee records and assist with onboarding, offboarding, payroll administration, company policies, and required documentation. Manage company cell phones and assigned devices, coordinate office calls when needed, and maintain organized company records. Equipment Vehicles and Assets Maintain equipment and vehicle lists, fixed-asset information, and acquisition and disposal records. Maintain titles, registrations, ownership documents, renewal dates, and insurance information. Insurance and Compliance Maintain company and subcontractor insurance certificates, W-9s, agreements, licenses, registrations, workers' compensation records, and other required compliance documents. Maintain a compliance calendar and ensure renewals, filings, and administrative requirements are completed on time. Monitor adherence to company financial, purchasing, administrative, and compliance policies. Ownership Reporting and Oversight Provide regular reporting on cash flow, AR and AP, job profitability, budgets, major expenses, assets, and compliance items. Identify financial, administrative, or compliance issues and recommend improvements to company processes and internal controls. Qualifications Five or more years of accounting, finance, or business administration experience is preferred, with construction accounting experience strongly preferred. The candidate should have experience with AP, AR, payroll, job costing, financial statements, construction billing, and retainage, plus proficiency in QuickBooks and Excel or Google Sheets. Payroll, construction compliance experience are preferred. Strong organization, communication, confidentiality, accountability, independent judgment, and problem-solving skills are required.
