Full Job Description Summary/Purpose:
St. John the Apostle is seeking a qualified Business Manager. The Business Manager manages the parish office and maintains the parish finances and executes approved responsibilities in a manner of excellence and integrity. Conducts clerical, administrative and bookkeeping functions and serves as a liaison between the pastor, parish and Diocese of Richmond.
Responsibilities & Tasks:
PRINCIPAL RESPONSIBILITIES
The principal responsibilities of the business manager are outlined below. The business manager is expected to perform each responsibility in conformity with and as required by the budget adopted by the finance council, the written guidelines of the parish and finance council, and as otherwise instructed by the pastor.
PARISH HUMAN RESOURCES 1.
Assists the pastor to recruit, hire, evaluate, and discipline employees 2. Reviews staffing needs and makes appropriate recommendations 3. Supervises and supports other staff members 4. Collaborates with the pastor in preparing annual staff performance evaluations 5. Develops and implements diocesan and parish personnel policies 6. Maintains all personnel files and personnel leave records 7. Processes staff payroll on a biweekly basis
PARISH FINANCIAL RESPONSIBILITIES 1.
Prepares financial statements for review by the pastor and finance council 2. Oversees reconciliation of bank accounts and investment accounts 3. Reconciles all balance sheet and income statement accounts 4. Oversees the proper accounting for all cash receipts and cash disbursements 5. Oversees the proper management of donor records, yearly tax substantiation letters, and acknowledgement of donor-advised contributions and in-kind gifts 6. Maintains accuracy of all financial records and establishes a responsible cash flow management system 7. Prepares, administers, and reviews annual budget process 8. Assists in fundraising programs, stewardship, planned giving, and endowment 9. Acts as liaison between the parish and the Diocese of Richmond in financial matters 10. Works with the standing committees and ministries of the parish to address their financial requirements 11. Manages all records, documentation, and communication with attorneys concerning parish business 12. Assists in presentation of annual financial report to parish community
PARISH ADMINISTRATIVE RESPONSIBILITIES 1.
Oversees the management of parish records and documents (financial and electronic) 2. Maintains good working relationships and effective communications between the parish community, various groups, and outside entities 3. Attends meetings of the finance council, safety team and Parish Pastoral Council 4. Attends other standing committees as requested by the pastor. 5. Acts as liaison with the Diocese of Richmond and attends all diocesan meetings, as necessary, representing the parish and the pastor 6. Consults with and advises the pastor on business and administrative matters that affect the parish.
RELIGIOUS EDUCATION RESPONSIBILITIES 1.
Assist Religious Education Directory and Youth Director in collection of fees through QR codes and links 2. Maintain shared documents of payments made to the programs 3. Assist in sacramental record preparation through document maintenance 4. Posting First Communion and Confirmation information into the Sacramental Record books and Camino Online Record System.
SAFE ENVIRONMENT RESPONSIBILITIES 1.
Work with church groups and ministries to ensure all volunteers are VIRTUS trained and up to date in background screenings 2. Provide guidance to all new volunteers on how to register and the procedures to follow in
VIRTUS 3.
Meet quarterly with parish safe environment committee OTHER 1. Member of any diocesan committees as needed and as approved by the pastor 2. Performs other duties as assigned and supports special projects 3. As needed, must be willing to work evenings to support diocesan or parish events 1. Bachelor's degree in accounting or related financial/management field 2. Understanding and appreciation of the Catholic faith 3. Knowledge of human, physical, and financial resources management 4. Demonstrated leadership and communication skills 5. Proficient in standard word processing, spreadsheet, database and financial software 6. Knowledge of accounting principles and practices 7. Excellent interpersonal skills and proven effective supervisory ability 8. Good organizational, record-keeping and facilitation skills 9. Ability to manage and present oneself professionally
