Qualifications 3-5 years of experience in budget monitoring, grants administration, or nonprofit finance support Working knowledge of grant compliance and reimbursement/invoicing processes Strong proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and financial or grants tracking systems Clear written and verbal communication skills for relaying information between branches and central finance teams Strong organizational skills with the ability to track multiple budgets, deadlines, and documentation requirements at once Detail-oriented with the ability to follow established procedures and escalate exceptions appropriately Ability to work effectively under the guidance of senior leadership while managing assigned responsibilities within a larger grant portfolio Job Responsibilities Budget Monitoring Monitor grant budgets for the 2 directly supported branches, tracking actual spend against approved budget on a regular cadence Flag pacing issues, variances, or at-risk spend-out trends to program directors and to the Sr Director for follow-up Maintain up-to-date budget tracking documentation for assigned branches and make it available for portfolio-wide review Grant Expenditure Support Monitor grant spend-out timelines across assigned branches, ensuring funds are utilized within funder-approved periods Provide direct, hands-on support to program directors at the 2 directly supported branches on spend-out pacing and budget execution Provide indirect, as-needed support to the other branches in the SS POD portfolio on spend-out questions, referring complex issues to the Sr Director Identify underspending or overspending trends early and coordinate corrective steps with program staff Grant Administrative Oversight & Recoupment Support Perform the administrative work needed to support faster recoupment and payment of grant funds from funders — compiling backup documentation, checking submissions for completeness, and tracking outstanding items Follow up on pending invoices and reimbursement requests to help reduce the time between expenditure and funder paymen Maintain organized records of grant administrative documentation to support timely submissions and audit readiness Bring recurring administrative bottlenecks to the Sr Director's attention Branch / GST / Accounting Liaison (Under Director II Supervision) Serve as the day-to-day liaison between the 2 directly supported branches and GST/Accounting on routine budget and invoicing matters Relay documentation, questions, and status updates between branch program staff and GST/Accountin Operate within processes, timelines, and compliance standards set by the Sr Director; escalate exceptions rather than setting new procedure Keep the Sr Director informed of liaison activity across the broader 6-branch portfolio where issues arise Work Environment & Physical Demands This role operates primarily in an office setting, with regular interaction with branch, GST, and Accounting staff The position requires regular computer use, communication by phone and email, and occasional travel between branch locations. The role requires strong attention to detail and the ability to manage multiple deadlines in a fast-paced, deadline-driven environment. Physical requirements are consistent with an office environment, including extended periods of sitting and computer use.
