Grants Program Assistant (Administrative Support)
Location:
San Jose, CA Schedule:
Full-Time | 100% Onsite Are you highly organized, detail-oriented, and looking to build experience supporting grant-funded public projects? We're seeking a Grants Program Assistant to support a Grants, Claims & Compliance team responsible for securing funding for important infrastructure and community initiatives. In this role, you'll work closely with project teams, assist with grant application activities, maintain documentation, and help ensure records and communications are accurate and organized. What You'll Do Support the pre-award grant application process by preparing and completing required forms Draft, edit, proofread, and format grant-related documents Coordinate with project managers and internal stakeholders to gather information Work with GIS and Graphics teams to assemble supporting materials Maintain digital records and organize grant documentation Update departmental manuals and reference materials Communicate professionally through Microsoft Teams and email Provide general administrative support to the Grants & Compliance team What We're Looking For Strong written and verbal communication skills Proficiency with Microsoft Office (Word, Excel, Outlook, Teams) Excellent attention to detail and organizational skills Ability to follow established procedures and meet deadlines Professional attitude with strong customer service and teamwork skills Preferred Qualifications Experience assisting with grant applications or grant administration Familiarity with Standard Forms (SF) used in government grant submissions Comfortable working with technical documents and government terminology Experience using Excel for tracking data or budgets Ability to interpret government policies, regulations, or compliance requirements Why Apply?
