This includes data entry; importing on-line applications; corresponding with applicants regarding grant guidelines, requirements, supporting documents, and wire transfer information; final report follow up and preparation of files for Director's file review.
Grant Projects:
Sends applications and/or appropriate referral material to applicants and replies to first-level inquiries. Passes preliminary grant requests/inquiries as directed for an application decision. Ensures grant applications are complete and comply with grant requirements. Follows-up directly with applicants to obtain missing material. Keeps applicants updated as to the status of their grant application via the use of automated status alerts in Gifts, e-mails, faxes and phone calls. Performs a final review of all completed applications prior to handing them off to Grants Specialists for evaluation or assignment to outside reviewer. Prepares and sends all award e-mails, notifications, materials and letters. Requests all outstanding final reports as directed. Receives and process Final Grant Reports for review. Prepares closed grants for archiving and final letters to grantees. Processes incoming subcommittee mail. Manages and maintains Collection files.
Data Entry and Management:
Processes all grant requests received by mail, e-mail and/or the IGAM on-line system. Assigns preliminary application type (based on each program area) and coding (scope, program area, geographical area service, etc. to each application). Maintains the Gifts database. Ensures the accuracy of organizational and contact information making use of the Vatican Information Service's announcements, CatholicHierarchy.org updates and USCCB press releases. Provides standardized and ad-hoc reports on applications and grant awards as requested. Creates and updates correspondence templates (English and other languages as needed) in Gifts as necessary.
Accounting:
Ensures payee information for each approved grant is correct and in compliance with payment guidelines. Processes grant payment requests for approval (including regular grants and special/emergency grants). Reconciles grants payment requests with USCCB monthly financial reports and Western Union Reports Provides outstanding payment reports as requested
Subcommittee Support:
Assists in the preparation of and follow-up to Bishop's Subcommittee meetings. Maintains subcommittee member lists with their contact information and that of their assistants. Schedules equipment and special requests for Subcommittee meetings. Prepares and prints Project Books in coordination with Grant Specialist. Drafts Subcommittee minutes for Director's review. Assist in the development of press releases after Subcommittee meetings. Work with promotions staff in providing grant and subcommittee data.
Language Requirement:
English proficiency (oral and written) required; knowledge of Ukrainian or Russian (oral and written) helpful.
Level:
Bachelor's Degree Major Field/Specialty:
International Affairs, European Studies, Business or equivalent (preferred)
Experience Required :
2-3 years
Other Specialized Training:
Knowledge of Catholic Church vocabulary and structures in US and/or Latin America, Eastern Europe, and/or Africa. Strong computer skills and aptitude including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe Professional. Extensive experience with database systems. Strong prioritization skills with attention to detail. Knowledge of Microedge GIFTS or other grant management software highly desirable The salary range for this position is $62,500 to $70,000.
