$90,000- $120,000/Year (12 months), Based on Experience
JOB DESCRIPTION
The Assistant Business Official will support the Career and Technical Education (CTE) and Workforce Development (WD) departments to provide oversight and management of all fiscal operations including program and grant funds. This position may also take the lead on providing support for grants and state contract programs throughout other areas of BOCES, in collaboration with the Finance Department.
Essential Responsibilities:
BUDGETS:
Coordinate the development of annual budgets in collaboration with department leadership and the Finance Department. Supervise assigned business office, operations, purchasing, and data management staff to support fiscal operations and grant administration, including data collection, reporting, compliance monitoring, budget management, purchasing, billing, and other department business functions. Provide oversight and guidance to extraclassroom central treasurer, staff advisors, and club activities in collaboration with the Finance Department to ensure procedures are followed in alignment with NYS standards. Coordinate data collection and management as it relates to activities to support current and future fiscal operations, using effective analysis to support funding decisions. Collect and analyze enrollment data to determine effective pricing models and tuitions for CTE and WD instructional programs. Conduct regular expense and revenue projections to monitor fiscal health, identifying potential surplus and/or deficit areas to advise leadership so that appropriate and timely measures may be taken to address shortfalls and maximize resource use. Collaborate with CTE and WD department leaders to conduct long range planning for the acquisition and replacement of equipment across all instructional programs, balancing the use of annual program budgets and grants, with effective use and funding of the CTE Equipment Reserve. Conduct in-depth data analysis across programs, grants, and operations to support decision-making as part of the leadership team.
GRANTS:
Prepare and review grant budgets, fiscal narratives, and financial forms for grant applications, amendments, and renewals. Monitor post-award grant expenditures to ensure alignment with approved budgets and funding regulations. Prepare and submit reimbursement requests and fiscal reports in collaboration with the Finance Department. Maintain fiscal records and documentation to support audits, monitoring, and compliance reviews. Coordinate with program staff to collect fiscal and performance data required for grant reporting. Provide technical guidance to staff regarding allowable costs, documentation standards, and reporting timelines. Support CTE/WD operations and grant initiatives by establishing partnerships through networking with outside organizations and industry partners.
OTHER:
Support the annual process of preparing and submitting BOCES aid calculations and projections to NYSED in collaboration with the Finance Department. Assist with development, renewal and review of annual vendor contracts supporting program services in collaboration with the BOCES legal department. Provide support and training for the use of WinCap across programs and among users for various operations and functions. Facilitate the auction process in collaboration with Purchasing department, for the sale of the house and other items produced by students, as well as surplus equipment. Performs other such duties as assigned.
QUALIFICATIONS
:
Education and Certification:
Bachelor's degree in business or a related field; School Business Administrator certificate required. Skills in budget preparation and administration as well as computer knowledge essential.
Experience:
Prior accounting/budgeting experience for a school system required.
