Position:
Affirming Heart Victim Services (AHVS) is seeking an experienced, organized, and dependable Finance & Grants Coordinator to manage the agency's day-to-day financial and grant-management processes. This new position will strengthen AHVS's financial systems, grant management, internal controls, and organizational continuity as our agency continues to grow. The Finance & Grants Coordinator will work closely with the Executive Director, program coordinators, Board Treasurer, auditor, and other staff. We are looking for someone who can own routine financial and grant-management processes, recognize when something needs attention, and follow through without needing reminders.
Key Responsibilities:
Maintain accurate financial records and supporting documentation. Perform routine bookkeeping and account reconciliations. Monitor agency, program, and grant budgets and identify variances or concerns. Coordinate routine payroll financial processes, including grant and program allocations. Prepare financial reports and information for leadership, the Board, funders, and programs. Assist with annual budget development and maintain budget tracking and projections throughout the year. Serve as the primary staff coordinator for annual audit preparation, including organizing requested records, tracking auditor requests, and following up on outstanding documentation. Maintain a master calendar of grant applications, reports, reimbursements, renewals, amendments, and deadlines. Prepare grant reimbursements, financial reports, and supporting documentation. Coordinate with program staff to collect information needed for grant reports. Maintain organized grant files and documentation. Prepare financial and administrative portions of grant budgets, revisions, applications, renewals, and amendments for Executive Director review. Monitor grant spending and compliance requirements and proactively communicate concerns or upcoming needs. Develop written procedures, checklists, tracking systems, and backup processes for essential finance and grant functions. Participate in cross-training and continuity planning.
Qualifications:
Experience in bookkeeping, accounting, grant management, financial administration, nonprofit administration, or a related field. Experience with nonprofit or government-funded programs preferred. Strong organizational skills and exceptional attention to detail. Strong follow-through and ability to independently manage deadlines and recurring responsibilities. Comfortable working with spreadsheets, accounting software, electronic records, grant portals, and HR/payroll systems. Ability to review financial information and communicate concerns clearly. Ability to manage confidential financial, personnel, and organizational information appropriately. Ability to work collaboratively while independently managing assigned responsibilities.
Work Location:
This is a hybrid position. Remote work is available based on job responsibilities, training needs, and performance. The employee must be available for in-person work in Carlsbad and/or Hobbs as needed. Additional in-person time may be necessary during initial training, annual audit preparation, budget development, and other agency needs.
