Full Job Description Description:
The Harold Grinspoon Foundation (HGF) is seeking a dynamic Grants Associate to join our growing team, primarily supporting our Western Massachusetts Jewish Community grant programs and other foundation initiatives. This full-time, hybrid position is based in our Agawam, MA home office and reports to the Grants Manager. In this role, the Grants Associate supports key administrative and financial functions across the grantmaking lifecycle and serves as an important point of contact for internal teams, grantees, and external partners. This is an excellent opportunity for someone who enjoys detail-oriented work, collaborating across teams, and contributing to meaningful community impact. Responsibilities Grants Administration Enter and maintain accurate data in Salesforce Provide exceptional customer service to grant recipients, partner organizations, and internal staff Process and track payment requests and grant disbursements Upload, scan, and attach documents to records in the database Invite applicants for funding on behalf of Program teams and communicate requirements and deadlines Track and follow up on narrative and financial reports, as well as any other outstanding documentation Generate payment transmittal letters and coordinate distribution of grant checks Draft and send grant-related communications (email and mail) Collaborate with program teams and other departments to support grant guidelines, applications, and reporting requirements Assist with grant budget tracking and expense monitoring Prepare regular grant reports for leadership Operations & Support Provide technical support to staff and grantees related to the grants management system Serve as a primary contact for grant-related inquiries (phone, email, and written correspondence) Provide administrative support to the Grants Manager and CFO, as needed Support the grants and accounting team with financial and administrative projects Performing other duties as assigned
Requirements:
Qualifications Minimum of three years of administrative and/or customer service experience Experience with Salesforce is preferred Intermediate proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) Strong written and verbal communication skills, with the ability to compose clear and thoughtful correspondence Excellent customer service and interpersonal skills, with the ability to engage effectively with a wide range of stakeholders Highly organized, detail-oriented, and able to manage multiple priorities Ability to handle confidential information with discretion Proactive and self-motivated, with the ability to work both independently and collaboratively Knowledge of Jewish culture and traditions is a plus Physical Requirements Prolonged periods of sitting, concentrating, and working on a computer Ability to lift up to 15 pounds as needed Location This position is based in our Agawam, MA, home office and follows a hybrid schedule, with an expectation of at least 60% (24 hours) onsite each week Compensation A competitive salary of $50,000 - $60,000 annually, commensurate with experience Benefits Health, Dental, & Vision Insurance Flexible Spending Plan Short- and Long-Term Disability Insurance 401(k) Plan with Employer Match Flexible work schedule policy Paid Sick, Holiday, Vacation, and Personal Time To Apply Please submit your resume and cover letter outlining your interest in the role and relevant experience The Harold Grinspoon Foundation is an equal opportunity employer.
