JOB STATEMENT
The General Clerk
  • Cellar Support provides administrative and clerical support to the Cellar and Winemaking teams, with a primary focus on Purchase Order (PO) entry and maintenance in Vintrace .
This role ensures accurate data entry, timely processing of cellar-related purchases, and effective coordination between cellar operations, purchasing, and accounting. The position is essential to supporting smooth cellar operations, inventory accuracy, and financial controls.
Essential Duties:
Vintrace & Purchase Order Support Create, enter, and maintain Purchase Orders (POs) in Vintrace for cellar supplies, materials, chemicals, packaging, and services Verify PO details for accuracy, including vendor information, quantities, pricing, and delivery dates Track PO status and follow up with vendors and internal teams as needed Assist with reconciliation of invoices against POs and receiving records Cellar Administrative Support Support Cellar staff with clerical and documentation needs Maintain accurate records for cellar purchases, inventory, and deliveries File, scan, and organize cellar-related documentation (POs, invoices, receiving records) Assist with data entry related to inventory movements or cellar activities when required Coordination & Communication Communicate with vendors, cellar personnel, and accounting to resolve discrepancies Serve as a liaison between Cellar Operations and administrative departments Provide timely updates to supervisors regarding PO issues, shortages, or delays Compliance & Accuracy Ensure all entries comply with company policies and internal controls Maintain confidentiality of pricing and vendor information Follow safety and operational guidelines when working in or around cellar areas
JOB REQUIREMENTS
Knowledge of:
Cellar Standard Operating Procedures Company Safety Procedure Skills in: Reading and writing Working with limited amount of supervision Wine Industry or similar experience Preferred Qualifications Experience working in a winery, cellar, or agricultural production environment Prior experience using Vintrace or similar production/ERP systems Familiarity with Purchase Order processes and inventory management Basic understanding of accounting or invoice reconciliation Required Qualifications Strong organizational and time-management skills Clear verbal and written communication Ability to work independently and as part of a team Problem-solving and follow-through Comfortable working in a fast-paced, seasonal environment Previous clerical, administrative, or data-entry experience Strong attention to detail and accuracy Proficiency with computers and data entry systems Ability to manage multiple tasks and meet deadlines Knowledge of Microsoft Office Suite, ERP, Order Programs Must be a person, professional and approachable.
