Job Description
Overview The Inventory Associate plays a critical role in maintaining accurate, compliant, and highly organized inventory operations within a fast-paced cannabis retail environment. This position is ideal for a detail-oriented, proactive individual who takes ownership of their work, can identify and correct discrepancies before they become larger issues, and thrives in a systems-driven environment. Working closely with the Director of Retail Operations, the Inventory Associate is responsible for inventory accuracy, product organization, compliance tracking, and operational support across multiple inventory systems and retail channels. Success in this role requires strong organizational skills, consistency, critical thinking, and the ability to work independently while maintaining clear communication with the management and retail teams. The ideal candidate is highly observant, dependable, able to prioritize tasks efficiently, and capable of catching mistakes related to inventory counts, invoices, product tracking, compliance documentation, and menu accuracy. They also take initiative during downtime by maintaining inventory organization, merchandising the retail floor, and proactively identifying operational needs without requiring direct supervision. Essential Functions The essential functions of the Inventory Associate include, but are not limited to: Inventory Management Restock sales floor and backstock inventory to maintain accurate product availability for staff and customers. Receive and process inventory shipments while verifying compliance documentation, including Certificates of Analysis (COAs) and METRC manifests. Accurately track and maintain vendor invoices, match invoices to Purchase Orders (POs), and identify and resolve discrepancies promptly. Perform routine inventory audits and identify inconsistencies, missing products, data-entry errors, or receiving mistakes. Monitor product expiration dates and notify the management team when products are within 30 days of expiration. Maintain clean, organized, and clearly labeled inventory storage areas that support operational efficiency and compliance standards. Track product movement and communicate inventory trends, including fast-selling, slow-moving, and aging products. Ensure damaged, defective, or returned products are properly documented and removed from inventory systems (Treez/METRC). Restock and merchandise the retail floor during downtime to maintain a clean, organized, visually appealing, and fully stocked customer experience. Monitor product presentation and ensure displays, shelves, and storage areas consistently meet company merchandising standards. Systems Accuracy & Compliance Maintain accurate inventory records across all systems and assist in identifying discrepancies between physical inventory and digital records. Assist in the development and maintenance of efficient, compliant inventory receiving and tracking procedures. Support monthly cycle counts and inventory audits to ensure inventory accuracy and compliance. Contribute to the maintenance of online menus, ensuring products are accurately represented on platforms such as Weedmaps and IHeartJane. Follow all cannabis compliance procedures and company operational standards with a high degree of accuracy and consistency. Collaboration & Communication Work closely with budtenders, leads, and management to ensure products are stocked, organized, merchandised, and accurately communicated to the sales floor. Monitor product request logs and communicate highly requested or low-stock products to management. Coordinate product demonstrations ("demo days") with vendors to support customer engagement and product education. Assist with organizing staff trainings through direct coordination with vendors and the management team. Communicate inventory issues, discrepancies, or operational concerns clearly and proactively.
