Our client is an established logistics and distribution company providing warehouse and supply chain services in Otsego, MN. Their operations emphasize inventory accuracy, efficient systems, strong customer communication, and continuous improvement.
Job Summary:
We are seeking a detail-oriented Shipping & Receiving Specialist to support back-office warehouse operations. This is primarily an administrative, computer-based position responsible for receiving inventory within multiple Warehouse Management Systems (WMS), investigating inventory discrepancies, maintaining accurate records, and communicating with customers and warehouse personnel. This position does not operate a forklift. The ideal candidate is highly comfortable working on a computer throughout the day, has strong communication skills, and can quickly learn and navigate multiple systems, including JDA/Blue Yonder, Oracle, and SAP.
Key Responsibilities:
Receive inventory electronically using paperwork and desktop computer systems. Enter, review, and maintain accurate receiving information across multiple WMS platforms. Monitor system interfaces and identify errors occurring during receiving, picking, and shipping transactions. Correct systematic errors within warehouse management systems. Document inventory discrepancies and system errors in required reports. Communicate with customers and warehouse personnel to resolve inbound receiving issues. Investigate inventory discrepancies and determine root causes. Communicate with customers to resolve inventory discrepancies and provide updates. Generate lists of items and locations requiring cycle counts. Enter and update findings from completed cycle counts. Use web-based systems and applications to complete inventory transactions. Generate and update reports to track warehouse activity and progress. Document outbound inventory discrepancies and errors that occur during the shipment process. Investigate and document discrepancies reported by customers. Audit randomly selected inventory locations using receiver put-away documentation. Systematically verify successful inventory transfers and physically locate items in the warehouse to confirm proper placement. Identify and resolve items that cannot be located and could impact production. Correct inventory placement discrepancies physically or systematically as needed. Communicate throughout the day using Outlook email, Microsoft Teams meetings, and phone calls. Maintain an organized workspace using 5S methodology. Provide professional and courteous service to customers, visitors, and coworkers. Perform additional administrative, inventory, and special project responsibilities as assigned.
Qualifications:
Strong computer proficiency required. Proficiency with Microsoft Outlook required. Working knowledge of Microsoft Word required. Basic Microsoft Excel skills required. Ability to learn and navigate multiple Warehouse Management Systems. Experience with JDA/Blue Yonder, Oracle, SAP, or similar WMS platforms strongly preferred. Previous inventory, receiving, warehouse administration, or related experience preferred. Strong written and verbal communication skills required. Comfortable communicating regularly with customers through email, phone, and virtual meetings. Strong attention to detail and data accuracy. Ability to identify, investigate, and resolve inventory discrepancies. Strong organizational and problem-solving skills. Ability to manage multiple systems, reports, and priorities throughout the workday. Dependable with consistent attendance and a strong work ethic. Ability to work independently while collaborating with warehouse personnel and customers. Ability to sit and work at a desktop computer for extended periods. Ability to occasionally walk throughout the warehouse to verify inventory locations.
Working Conditions:
Primarily a back-office, computer-based administrative position within a warehouse environment. Majority of the workday is spent using desktop computers, WMS platforms, email, and other business applications. Occasional warehouse floor activity may be required to verify inventory locations and discrepancies. This position does not operate a forklift. Regular communication with customers and warehouse personnel by email, phone, and Microsoft Teams. Requires consistent attention to inventory accuracy, documentation, and system transactions. Appropriate Personal Protective Equipment (PPE) must be worn when entering designated warehouse areas.
