About the role Where you'll work Our Norwich, NY location is part of our Applied Health and Nutrition Division and one of our specialty sites that creates proteins, lactose, coatings, and flavors. The location lies within Chenango County and is advantageously located within a 50-mile radius of the major cities of Binghamton, Syracuse, Utica, Cooperstown and Oneonta. 158 State Hwy. 320, Norwich, NY 13815 Pay Rate/Hourly Rate $27/hour Shift/Working Hours 40 hours per week - 9 am - 5 pm What you'll do The Sample Room Coordinator is responsible for handling all cell nutrition and excipient Salesforce sample requests as well as PSS and co-ship sample request from the time of receipt to the time of shipment associated with the Norwich NY manufacturing site. This includes retrieving the request from the sample system, preparing the sample, recording the sample information on the sample system, shipping the sample with the necessary documentation, and tracking any sample shipped and responding to shipping information requests as they occur. This position is also responsible for maintaining the sample room in Norwich inventory control, shelf-life requirements, QC hold requirements, inventory levels, and GMP requirements. Key responsibilities- Receive sample requests from Sales Force, prepare the sample, record the sample information in the sample system, request a double check to be performed, enter the shipment information into the freight system, and ship the sample. (Salesforce samples only 1 hour for a 3 lot/batch sample request. )
- Receive PSS & Co-ship sample requests from SAP, prepare the sample, record the sample information in the system, request a double check to be performed, enter the shipment information into the freight system, and ship the sample. (1 hour for one PSS)
- Be able to perform a mock (or actual) recall on samples sent.
- Maintain the proper inventory levels of product, packing material, and miscellaneous supplies in the sample room according to the requirements given by Corporate and by predetermined safety stock levels. Review safety stock levels set on a routine basis to ensure supply meets demand. average 10 hours/week.
- Ensure all materials in the sample room meet standard product specifications, represent typical manufacture, are within shelf life, and any retests are performed before the sample is dispatched. Average 10 hours/week
- Replenishment inventory is ordered in a timely manner to ensure inventory levels do not go below safety stock. Any manufactured material is to be ordered whenever possible from the Supply Chain.
- Organize the sample room in the most efficient manner possible.
- Ensure all backup personnel are kept current of any changes in the sample system or changes in the sample room.
- Ensure the sample room meets GMP requirements.
- Must be able to develop and maintain Excel spreadsheets.
- Must be able to handle various tasks as assigned by Management.
- Provide a monthly report showing number of samples sent by product group.
- Participate in the Physical Inventory Count.
- Keeps filing up to date.
- Prepare SOPs and maintain them current.
- Other assignments as needed. Qualifications and skills Education AAS (Associate Applied Science) degree in business or relevant field preferred, or the equivalent in experience.
- Experience Minimum of 2 years of relevant experience
- Must have a good working knowledge of math and be confident in using it.
- Must be able to write clearly and legibly.
- Must be attentive to detail/accuracy and committed to quality.
- Must be able to communicate well in a professional manner, possess excellent phone skills, read and understand written instructions.
- Individual must be flexible in adjusting his/her work schedule and be able to work overtime when required to meet the department needs.
- Must be able to work well with other departments.
- Individual must be organized, neat, clean and consistent.
- Individual must have initiative, be resourceful, and have the ability to use common sense and make decisions using sound judgment.
- Must have strong PC program experience (Excel, Word), computer literacy, excellent communications and follow-up skills.
- Assertive demeanour and problem-solving skills.
- Must possess strong organizational skills.
- Experience with ticketing systems.
SAP /SFDC
environment is desirable.PHYSICAL REQUIREMENTS
