Job Title:
Kolu Warehouse Lead (Receiving & Inventory Specialist)
Department:

POSITION SUMMARY
(Receiving & Inventory Specialist) The Kolu Warehouse Lead plays a key leadership role in ensuring smooth and efficient operations of the Maui Food Bank warehouse. This position oversees daily activities such as receiving, inventory management, distribution, and inter-island shipping. The Lead supervises and trains warehouse staff, ensures adherence to food safety and compliance standards, and supports system and process improvements. Working closely with the Director of Operations, this role also contributes to long-term planning and the implementation of system upgrades like WMS and NetSuite. The ideal candidate brings a team-first mindset, strong attention to detail, and a heart for service—always focused on moving food safely and efficiently to those in need across our community. Key Responsibilities Team Leadership & Staff Development Assist the Director of Operations in hiring, onboarding, and evaluating warehouse staff Provide ongoing coaching, support, and corrective action as needed X Foster a respectful, positive, and productive work environment Y Lead regular warehouse team meetings to communicate updates and reinforce expectations X Support succession planning and staff development for warehouse roles --- Warehouse Operations Oversee daily warehouse functions including receiving, put-away, picking, loading, and overall cleanliness NI Ensure donation processing is completed accurately and consistently Maintain clean and organized chill and freezer spaces; ensure proper merchandising Ensure all donation pallets and center-stored pallets are tagged properly; empty pallets are stacked neatly Ensure the shopping floor is merchandised properly and kept "show-time ready" Manage opening and closing procedures and assign routine cleaning responsibilities Coordinate and support HUB pulls and inter-island orders (Molokai/Lanai) Receiving & Inventory Management Oversee the receiving of incoming food purchases and donations Verify the quantity, quality, and proper documentation of all inbound items (e.g., Go Fresh, ABB, USDA, Da Mobile Market, Da Market) Ensure timely and accurate entry of inventory into systems (QuickBooks, WMS, etc.) Follow FIFO (First In, First Out) practices across all inventory areas Conduct regular cycle counts and monthly physical inventory reports Track, document, and report damaged or expired products Assist the Director of Operations with inventory reports and audits Food Safety & Compliance Ensure all warehouse staff follow food safety guidelines and warehouse safety protocols Work closely with the FEFS Coordinator and Director of Operations to uphold food handling and sanitation standards Maintain a clean, safe, and hazard-free warehouse environment Molokai / Lanai Inter-Island Coordination Assist the Director of Operations with the full implementation of monthly outbound shipments Complete Bills of Lading (BOLs), and ensure all shipments are properly tagged and securely strapped Confirm the accuracy and completeness of all inter-island orders Process Improvement & Systems Support Identify and recommend operational improvements for workflow, safety, and efficiency Support the rollout and adoption of new warehouse systems, including WMS and NetSuite Help troubleshoot and resolve process bottlenecks Administrative Duties & Record Keeping Maintain accurate documentation related to inventory, deliveries, donations, and daily logs Prepare documentation for specific programs (e.g., ABB, HUB pulls) Consistently model and uphold the mission and values of Maui Food Bank in all responsibilities Qualifications 2+ years of experience in warehouse operations, logistics, or inventory management Proven leadership experience and ability to supervise and support a team Strong organizational and communication skills Comfortable working with systems such as QuickBooks, WMS, or Excel High attention to detail and accountability in all tasks Positive attitude, strong work ethic, and commitment to community service Physical ability to lift, move, and organize warehouse inventory as part of daily duties
