Job Description

Position Summary The Parts & Inventory Specialist / Service Writer is responsible for providing exceptional customer service while managing parts inventory, assisting technicians, and coordinating repair orders from intake through completion. This position serves as the communication link between customers, technicians, and the parts department to ensure efficient shop operations and timely repairs. Essential ResponsibilitiesService Writing Greet customers in person and over the phone professionally. Open repair work orders and accurately document customer concerns. Schedule service appointments. Prepare repair estimates and obtain customer approvals. Communicate repair progress and completion status. Explain completed repairs and review invoices with customers. Process warranty claims and manufacturer documentation as needed. Maintain accurate service records and repair history. Coordinate pickup and delivery schedules when applicable. Parts & Inventory Management Identify and source OEM and aftermarket parts. Order parts from approved vendors and manufacturers. Receive, inspect, and stock incoming inventory. Maintain organized parts storage areas. Issue parts to technicians accurately. Monitor inventory levels and reorder stock as necessary. Perform cycle counts and assist with annual physical inventory. Process returns, credits, and warranty parts. Track backordered parts and communicate expected arrival dates. Shop Support Coordinate workflow between technicians and customers. Ensure technicians have required parts before repairs begin. Prioritize work based on customer needs and shop schedule. Maintain cleanliness and organization of the parts department. Assist with merchandising and showroom inventory when needed. Support sales staff with parts and accessory recommendations. Qualifications High school diploma or equivalent. Experience in outdoor power equipment, automotive, agriculture, powersports, or related industry preferred. Strong mechanical aptitude. Ability to interpret parts diagrams and service manuals. Computer proficiency and ability to learn dealership management software. Excellent organizational skills. Strong customer service and communication skills. Ability to multitask in a fast-paced environment. Valid driver's license. Preferred Experience Experience with brands such as Toro, Exmark, Gravely, Ferris, Stihl, Husqvarna, Cub Cadet, Scag, Kubota, Club Car, Jacobsen, or similar manufacturers. Experience with OEM parts lookup systems. Knowledge of warranty procedures. Inventory management experience. Experience using point-of-sale or dealership management software. Physical Requirements Lift up to 50 pounds. Stand and walk for extended periods. Bend, kneel, and reach frequently. Operate forklifts or material handling equipment (training provided if needed). Work in both office and warehouse/shop environments.
