An Inventory or Supply Specialist specializes in tracking and managing inventory and supplies to improve production or distribution at a company or organization. Manages purchase orders, or distribution of materials between different centers of a large company.

Software Management:
Utilize the inventory management software to issue and return parts/tooling from stock. Update electronic documentation within system for inventory and maintenance purposes; ensure a well-maintained electronic filing system for storeroom documentation. Maintain accurate inventory records and prepare inventory reports using Microsoft Excel and other Microsoft Office applications. Ensure inventory data is accurate, complete, and updated in a timely manner.
Inventory Management:
Maintain an organized parts inventory, ensuring shelves are stocked, bins are arranged, and new parts are accurately recorded. Conduct monthly perpetual bin audits (inventory cycle counts for assigned cabinets), reporting discrepancies between physical and system records. Examine cabinets and bins for low-stock items, initiating the order process when needed. Monitor inventory usage trends to predict future demands, ensuring optimal stock levels. Analyze inventory discrepancies and recommend corrective actions to improve inventory accuracy and operational efficiency.
Order Processing:
Assist mechanics with charging out parts and creating work orders for depleted inventory. Handle material requests from all departments, including issues, returns, purchases, and transfers. Review and determine the work order closeout process. Place daily parts orders, liaise with vendors for quotations, and submit them for management approval. Match purchase orders with corresponding invoices and packing lists, approving and forwarding documentation to the Production Admin office. Notify relevant departments or individuals when requested parts arrive. Independently track open purchase orders, material requests, and follow up with vendors and internal departments to ensure timely delivery and completion. Coordinate with Purchasing, Production, Maintenance, Receiving, and other departments to resolve inventory-related issues and support daily operations.
Customer and Vendor Interaction:
Assist technicians with inquiries regarding the status of their orders. Coordinate with suppliers to address shipment delays, inventory shortages, or material availability issues. Pick up material deliveries from vendors, ensuring they are correctly staged in the receiving areas. Serve as a point of contact for inventory-related inquiries and communicate effectively with cross-functional departments to support operational needs.
Operational Excellence:
Ensure that the parts area remains clean, organized, and uncluttered. Adhere to all safety protocols in the storage area, ensuring compliance with company policies and industry standards. Compile stock control reports, analyzing consumption rates and current lead times to determine stock supply and replenishment needs. Create and maintain inventory procedures, work instructions, and related documentation. Collaborate with cross-functional departments to improve inventory processes, workflow efficiency, and inventory accuracy. Support inventory audits and maintain documentation required for compliance and internal controls.
Additional Duties:
Regularly update management on stock levels, potential shortages, and provide recommendations for inventory optimization. Demonstrate ownership by independently managing assigned tasks, following up on outstanding action items, and ensuring timely completion of responsibilities. Work collaboratively with Production, Maintenance, System data, and other departments to support operational objectives and ensure effective communication across teams. Perform administrative and operational support duties as assigned. Undertake other tasks and responsibilities as assigned. Qualifications Requirements Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or a related field is preferred. 2-3 years of experience in inventory management, warehouse operations, purchasing, manufacturing, or a related field. Experience coordinating with multiple departments and independently following up on assigned tasks. Strong analytical and problem-solving skills with attention to detail. Proficiency in Microsoft Excel, Word, PowerPoint, and other Microsoft Office applications. Experience with inventory management software or ERP systems is a plus. Ability to work in a fast-paced environment while managing multiple priorities. Strong sense of ownership, accountability, organizational, and time management skills. Preferred Qualifications Advanced Microsoft Excel skills (PivotTables, XLOOKUP/VLOOKUP, formulas, and data analysis). Experience in manufacturing, distribution, warehouse, or supply chain operations. Experience supporting inventory audits, compliance documentation, or internal controls. Experience creating SOPs, work instructions, or process documentation.
