Supplies Technician / Accounts Receivable AssistantPosition Summary The Supplies Technician / Accounts Receivable Assistant plays a critical role in delivering exceptional customer service while supporting the operational and financial success of Bauernfeind Business Technologies. This position is responsible for managing customer supply fulfillment, monitoring device supply levels through remote fleet management software, maintaining customer communication regarding supply needs, and assisting the Accounts Receivable department by collecting and validating meter readings to ensure accurate and timely customer billing. This role requires strong organizational skills, attention to detail, excellent customer service, and the ability to manage multiple priorities in a fast-paced environment. Essential Duties and ResponsibilitiesSupplies Management Process, pick, pack, and ship toner, staples, waste toner containers, and other copier and printer supplies to customers. Maintain accurate inventory of consumable supplies. Receive and stock incoming supply shipments. Ensure customer supply orders are fulfilled accurately and shipped in a timely manner. Coordinate expedited shipments when necessary to minimize customer downtime. Monitor inventory levels and notify management when replenishment is needed. Fleet Monitoring & Customer Support Utilize remote monitoring software to track customer device supply levels and meter information. Review alerts for low toner, maintenance items, and other supply-related notifications. Contact customers to verify supply needs when appropriate. Resolve supply-related issues by working directly with customers, service technicians, and manufacturers. Maintain accurate customer information within monitoring and ERP systems. Assist customers with supply questions via phone and email while providing outstanding customer service. Accounts Receivable Support Collect meter readings from customers through monitoring software, email, phone, or other approved methods. Verify the accuracy and completeness of meter data prior to billing. Research missing or inconsistent meter information and follow up with customers as needed. Administrative Responsibilities Maintain accurate records of supply shipments, customer communications, and meter collection activities. Collaborate with the Service, Sales, and Accounting departments to provide seamless customer support. Participate in process improvement initiatives to increase efficiency and enhance customer satisfaction. Perform other duties as assigned. QualificationsEducation & Experience High school diploma or equivalent required. Previous customer service, administrative, warehouse, logistics, or office technology experience preferred. Experience with Microsoft Office applications. Experience with ERP systems, remote device monitoring software, or accounting software is a plus. Required Skills Excellent customer service and communication skills. Strong organizational and time management abilities. High attention to detail and accuracy. Ability to prioritize multiple tasks and meet deadlines. Basic computer proficiency including Microsoft Outlook, Word, and Excel. Ability to learn new software systems quickly. Problem-solving mindset with strong follow-up skills. Ability to work independently and as part of a team. Physical Requirements Stand, walk, bend, and reach throughout the workday. Ability to safely package and prepare shipments. Ability to sit and work at a computer for extended periods. Work Environment This position combines office and warehouse responsibilities. The employee will regularly interact with customers by phone and email while also preparing shipments in a warehouse or stockroom environment. What Success Looks Like A successful Supplies Technician / Accounts Receivable Assistant consistently: Delivers accurate supply shipments on time. Maintains excellent customer relationships through responsive communication. Ensures meter readings are collected accurately and on schedule. Maintains organized records and inventory.
