POSITION SUMMARY
The Customer Service / Operations & Administrative Coordinator is responsible for providing responsive customer service while supporting the day-to-day operational and administrative requirements of the company. The position will primarily function within Customer Service but will be cross-trained and expected to assist Operations and Administration as business needs require. The ideal candidate is organized, proactive, detail-oriented, and capable of managing multiple responsibilities in a fast-paced freight forwarding and logistics environment. The employee must be able to communicate effectively with customers, vendors, carriers, warehouse personnel, and internal departments while maintaining accuracy and proper documentation.
PRIMARY RESPONSIBILITIES 1.
Customer Service Serve as a primary point of contact for assigned customers regarding shipments, schedules, documentation, rates, and general inquiries. Respond to customer emails and inquiries promptly and professionally. Provide customers with accurate shipment status updates, including delays, schedule changes, documentation issues, and other exceptions. Proactively communicate potential problems rather than waiting for customers to follow up. Coordinate with Operations, Warehouse, Sales/Business Development, carriers, agents, and destination stations to ensure proper shipment handling. Obtain and verify shipping instructions and required documentation. Monitor shipments Inbound and Outbound from receipt or booking through departure and/or final coordination. Maintain accurate customer and shipment records in the company's operating system. Assist with quotations and follow up on pending customer inquiries when assigned. Escalate service issues, customer complaints, shipment discrepancies, or potential financial exposure to management promptly. Develop a working knowledge of individual customer requirements and ensure those requirements are communicated internally. 2. Operations Support - Inbound and Outbound Assist with booking and shipment coordination for ocean, air, and inland transportation. Coordinate pickup, delivery, receiving, and warehouse activities as required. Communicate with carriers, truckers, warehouses, vendors, agents, and destination stations. Verify cargo information including piece count, dimensions, weight, commodity, routing, and special handling requirements. Assist with preparation and verification of shipping documents, including bills of lading, air waybills, manifests, delivery orders, and other operational documents. Monitor cutoff dates, sailing schedules, flight schedules, appointments, and shipment deadlines. Identify operational problems or discrepancies and immediately coordinate corrective action with the appropriate department. Assist Operations during high-volume periods, employee absences, special projects, or other operational requirements. Follow established SOPs and internal controls when processing shipments. 3. Administrative Support Assist with data entry, filing, scanning, document preparation, and record maintenance. Verify that required supporting documents are complete before files are closed or forwarded for billing. Assist with invoice verification and identification of discrepancies before submission to Accounting. Maintain customer, vendor, carrier, and operational records as assigned. Assist management with administrative activities and departmental coordination.
CROSS-FUNCTIONAL EXPECTATION
Although Customer Service will be the employee's primary responsibility, this position is designed to be adaptable across Customer Service, Operations, and Administration. The employee will be cross-trained in relevant functions and may be assigned responsibilities in other areas depending on workload, staffing requirements, operational priorities, and business needs. Cross-training is intended to improve departmental coverage, operational continuity, and the employee's overall understanding of the freight forwarding process.

The employee is expected to: Take ownership of assigned tasks and follow them through to completion. Be proactive rather than waiting for customers or supervisors to identify problems. Communicate delays, discrepancies, and potential issues immediately. Maintain accuracy in shipment information and documentation. Prioritize customer requirements while protecting the company's operational and financial interests. Follow established procedures while demonstrating good judgment when unusual situations arise. Work independently after appropriate training and minimize unnecessary dependency on supervisors. Cooperate effectively with other departments and stations. Maintain professional communication with customers, vendors, carriers, and coworkers. Continuously develop knowledge of freight forwarding and logistics operations.
QUALIFICATIONS
Preferred:
Experience in customer service, logistics, freight forwarding, transportation, warehousing, or a related field. Knowledge of ocean freight, air freight, trucking, and warehouse operations is an advantage. Experience with freight forwarding or transportation management systems is preferred. Familiarity with Cargowise or similar logistics software is an advantage. Proficiency in Microsoft Outlook, Excel, Word, and other standard office applications. Strong written and verbal communication skills. Strong organizational and time-management skills. Ability to manage multiple shipments, deadlines, and customer requirements simultaneously.
