Job Description

The Work The General Service Officer, Junior, will assist with technical, data-driven inventory and supply chain operations. This role plays a pivotal part in assisting with operational readiness, maintaining compliance with federal regulations, and delivering seamless facility and supply chain support across multiple bureau offices and State Annexes.
MUST HAVE AN ACTIVE SECRET CLEARANCE.
Key Responsibilities Requisition Management:
Prepare, edit, and process requisitions in Ariba for replenishing supplies, managing commodity control, or meeting requests from supply organizations.
Market Research:
Conduct product and supplier research, utilizing Ariba stock catalogs, vendor databases, or other online tools to identify duplicate items and ensure compatibility with existing inventory.
Financial Tracking:
Maintain ledger accuracy through detailed tracking of expenditures and monthly purchase/credit card reconciliation with appropriate supporting documentation.
Vendor Liaison:
Coordinate with vendor representatives to confirm inventory requirements, product availability, material status, and expedite urgent deliveries.
Stock Oversight:
Monitor supply stock levels, establish or adjust inventory thresholds, conduct routine physical counts, and maintain property account records.
Quality Control:
Ensure incoming shipments are undamaged, verify shipping documentation for accuracy, and issue receipts for distributed supplies.
Catalog Maintenance:
Develop and update online inventory catalogs and maintain organized storage spaces for efficient supply retrieval.
Distribution Support:
Screen supply intake lists, compile equipment acquisition plans, process requests promptly, and oversee delivery and distribution of resources to bureau offices.
Space Resources:
Maintain accurate and updated resources for office floor plans and associated equipment lists.
Maintenance Tasks:
Act as the point of contact for routine building repairs (HVAC, lighting), cleaning schedules, and loading dock coordination.
Moves & Signage:
Plan and coordinate office moves and oversee the creation and placement of building signage.
Technical Requests:
Facilitate Telephone Service Requests (TSRs) and ergonomic furniture installations.
Equipment Support:
Manage copier meter readings, deliveries, exchanges, and routine maintenance needs.
Event Setup & Logistics:
Provide support in logistical planning, space coordination, and setup for special bureau events, conferences, and meetings.
Compliance Management:
Ensure all supply chain activities comply with federal, Department, and local regulations.
Policy Development:
Assist in drafting localized supply-chain policies and procedures to streamline operational performance.
Operational Readiness:
Keep emergency-management and transportation records organized for bureau-wide operational efficiency. Other duties as assigned. Qualifications - Here's What You Need High school diploma with 5 years of office experience supporting senior officials; OR Two-year college degree in Office Management, Business Administration, or related field with 4 years of office management experience. Secret Security Clearance is required. Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.
Minimum Skills:
Ability to manage multiple tasks simultaneously in fast-paced environments. Proficiency in Microsoft Word, PowerPoint, and Excel. Strong oral and written communication skills to interface effectively with personnel and government agencies across all levels. Highly organized with meticulous attention to detail. Discretion in handling confidential information. Independent judgment in interpreting regulations and optimizing organizational workflows. Knowledge of basic accounting principles is a plus. Must be physically and mentally able to perform duties extended periods of time. Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position. Frequent standing, walking, bending, and stooping. Regular lifting of 20-pound items and occasional handling of loads up to 50 pounds. Must be able to establish a productive and professional workspace. Must be able to sit for long periods of time looking at computer screen. May be asked to work a flexible schedule which may include holidays. May be asked to travel for business or professional development purposes. May be asked to work hours outside of normal business hours.
