When a crew mobilizes, somebody has to make sure 40 guys have rooms in the right town on the right night — and fix it when a flight changes, a job pushes a week, or a hotel says there's no reservation under that name. That's this job. You'll be the person our field employees call when something about their travel or housing goes sideways. You'll also be the person who catches it when a lodging vendor bills us for rooms nobody slept in. What you'll do Coordinate crew mobilization and demobilization — book, modify, and cancel hotel stays through CLC Lodging (and Engine) as assignments shift, which they will, often on short notice. Be the day-to-day point of contact for employees on the road. Expect a lot of phone calls: wrong room, no reservation, extended stay, early release, guy showed up a day late. You solve it and you keep it professional every time. Audit lodging invoices and billing for overcharges, no-show fees, and rooms we shouldn't have paid for. Chase discrepancies down with the vendor until they're resolved and credited. Evaluate whether we're getting the best available options on cost, quality, and location, and recommend changes when something better exists. Track and report housing and travel spend so cost problems get caught before the invoice is paid, not after. Support new employee onboarding — paperwork, orientation, systems setup — as a secondary part of the role. What we're looking for Bilingual, English and Spanish, spoken and written. You'll use both daily. Someone genuinely professional on the phone. You'll be talking to employees all day, often when they're tired, frustrated, and 1,200 miles from home. Calm and clear matters more than fast. A real problem solver. This role lives or dies on figuring things out — better options, cleaner bookings, billing errors caught. It is not a paperwork-processing job. Comfortable with computers and Excel. You'll be in spreadsheets, booking portals, and invoices constantly. Organized enough to keep dozens of moving reservations straight without dropping one. Willing to push back on a vendor when the numbers don't add up. Able to reliably commute to our Stuart, FL office. Prior experience in travel coordination, logistics, dispatch, procurement, vendor management, or hospitality is a strong plus. HR/onboarding experience is a nice-to-have, not a requirement.
Compensation:
$52,000-$60,000/year depending on experience.
